When adding student contacts, you have the option to choose from four contact types: Parent, Family, Approved Pickup, or Emergency Contact. Each contact type has a specific set of permissions and access to view student information.  You can review those permissions here.

You have two options for adding student contacts:

  1. Upload in Bulk: The fastest and most convenient way to add student information is through our easy Roster Upload Tool. When uploading information this way, invitations to join brightwheel will not be sent to contacts until you are ready. See how to send invitations here.
  2. Adding Manually by Student: To learn how to add these contacts manually, see the instructions below.

By default, Parent contacts can add additional student contacts and edit the students profile. If you'd like to assign this responsibility to the parent, feel free to share these instructions with parents. If you would prefer parents not have access to edit student profiles, you can turn this setting off. See how here

As an Admin you can add Parents, Family, Approved Pickups, and Emergency Contacts at any time via the app or on the web by following the below instructions.  If you would like to turn this option on for particular teachers and staff, here's how. This level of access is turned off by default.

Add New Student Contact

Adding new contacts is easy!  If you have not already done so, you will need to add students before you can assign any contacts to their profile. If you would like to do this in bulk, take a look at our Roster Upload Tool.

From the Web:

  • Login, and click on Students from the top menu
  • Select a student by clicking on their name
  • Scroll down to the Contacts section and click Add a contact
  • Expand the drop-down menu under Contact Type and select the desired contact type. You can compare the levels of access here


  • Add the contact's information and click Save Contact

  • You can choose to send an invitation to join brightwheel now, or at a later date. If you wish to send later, here's how to send those invitations.

Note: 

  • You can add contacts with just a first and last name, but these contacts will not receive an invitation until an email address or phone number has been added.
  • You are able to invite contacts via email or SMS if a mobile number is added. If you enter both, then the contact will receive an invite via email only.
  • Mobile numbers must be valid US or Canadian numbers.
  • Emergency Contacts only require first and last name and a phone number. These users are never invited to create a brightwheel account.

Add a Contact Who Already Has brightwheel

It's common for student contacts to be added to more than one student.  Siblings may share the same contacts, a user could be a Parent for one student and an Approved Pickup for another. In cases like this, you can add the same contact to multiple students.

The best way to go about this will be to follow the same process as adding a new student contact for the additional student. When doing this, choose the desired contact type from the drop-down, enter their first and last name, and then enter the email address or mobile number exactly as entered in the other record and leave the rest of the information blank.

When you save this record, brightwheel will pull all other contact information associated with that user into that record and assign them to that student. No action will be required on the part of the contact. 

Edit/Update Student Contact

Once a contact has been created in brightwheel, schools are not able to edit their name, email, or mobile phone number. The contact can update this information in their profile, here's how

If you need to edit a contact from the school's end, first delete the contact's record with outdated/incorrect information and then re-add them as a new Contact with the correct information. The user will need to create a new account with this updated information.

Delete Student Contact

From the Web:

  • Login, and click on Students from the top menu
  • Select the child this contact is associated with by clicking on their name
  • Scroll down to the Contacts section and click Edit in the header

  • Click Remove to the left on the pickup's line

  • Confirm that you would like to remove this contact by clicking Remove from the popup window

By removing a student contact, you are removing the association between the contact and the student. This does not delete the contact's brightwheel account. They will still be able to log in and see any other students they are assigned to, but not the one you removed them from.

Manage Student Contacts from the App

A student's profile can be edited right from the app.  Below you will see how to add, update, and delete contacts directly from the app. 

Add a Contact

  1. Log into the app and select a student
  2. Tap the Edit icon
  3. Scroll down to the type of contact you wish to add
  4. Tap the Add field at the bottom of that contact section
  5. Enter Contact's information and hit Create
  6. You can choose to send an invitation to join brightwheel now or at a later date. If you wish to send later, here's how to sent those invitations.

Edit a Contact

You can edit a contact's information on the fly right from the mobile app:

  1. Log into the app and select a student
  2. Tap the Edit icon
  3. Scroll down to the contact you wish to edit and tap on their name
  4. Make your desired updates and hit Save

Note: Schools cannot edit email addresses or mobile number for student contact. They will need to update this information from within their own account.


Delete a Contact

To delete a student contact from the mobile app:

  1. Log into the app and select a student
  2. Tap the Edit icon
  3. Scroll down to the contact you wish to remove
  4. Simply tap the X to remove the contact
