Introduce parents to brightwheel (email)
Parents will receive an email or text invitation from brightwheel when you manually send the invites, but some administrators also like to give parents a heads up beforehand. Below is an optional message to send parents right before you click 'Invite All' in brightwheel.

Hi families!
Our program has partnered with brightwheel, the leading early education app, for parent communication, tuition billing, and more. It is highly reviewed, secure, and commended for its ease-of-use. We’re excited for you to see what it’s all about!
Soon, you’ll receive an email or text invitation from brightwheel to connect to your child’s profile. Simply click the link in the brightwheel message to finish creating your account. If you already have a brightwheel account, it will automatically link to our program when you click the invite link.
You can sign in to brightwheel on both a web browser and via their mobile app. You can download their mobile app in the Apple and Google Play app stores.

1. Kickoff Alert
We recommend sending your first message as an Alert when you invite parents to brightwheel. Even if a parent hasn't signed up yet, the message will be waiting for them when they connect their account.
Hello families! We're thrilled to introduce brightwheel as your all-in-one communication and tuition billing platform. 😊 To stay connected with your student, we highly recommend adding your phone number to your Profile for text alerts.
We also have a helpful course available to guide you in using brightwheel. Simply follow this link: https://academy.mybrightwheel.com/training/848381f8-15b9-11ee-8c95-0269bab6fbd9/overview. There's no need to complete the entire course now! Just tackle the Intro module (~5 mins) to create your brightwheel account. You can explore the rest later.
Click "Get Started" and complete the registration details to create your Academy account. If you log in to brightwheel with an email, please use the same email to access the Academy.

2. Follow-up message
This is a great follow-up to send 1-2 days after inviting parents.

3. Billing Launch
These are great to send if you are generally announcing the use of brightwheel billing or if you intend to cover direct bank transfer service fees on behalf of families.
General billing announcement
Hi everyone! We will soon be managing our tuition and invoicing through brightwheel. We are thrilled to announce this change: you will be able to pay online, manage all your charges and payments in one place, see past statements, and easily pull tax reports. Plus, brightwheel has the highest levels of security and compliance in the industry, so your information will be safe and encrypted.
Please take a moment to add a payment method by clicking ‘Payments’ on the purple sidebar > click the ‘Payment Settings’ tab at the top. For the mobile app, you can tap the 3 horizontal lines at the top left corner > tap ‘Payments’ > ‘Payment Settings.’

If you cover bank transfer service fees
Hi everyone! We’re excited to share that we’ll soon be managing all tuition and invoicing through brightwheel. This change will make it easier to handle your payments. You’ll be able to pay online, track charges and payments in one place, view past statements, and easily download tax reports.
We’re also pleased to let you know that direct bank transfers (E.g. ACH, PADs) payments will be free for families, as we’ll be covering the associated service fees. If you prefer to pay by credit or debit card, please note that there will be a small processing fee applied by brightwheel.
To get started, please add your preferred payment method in the app (Tap the three lines (top left) > Payments > Payment Settings).

4. Reminder: Sign up for Bill Pay
Hi everyone! A friendly reminder to add your payment method to your brightwheel account if you haven’t already. 💰
If you are on a web browser, you can add your payment method by clicking ‘Payments’ on the purple sidebar > click the ‘Payment Settings’ tab at the top. For the mobile app, you can tap the 3 horizontal lines at the top left corner > tap ‘Payments’ > ‘Payment Settings.’
5. Reminder: Enable Autopay
Hi families! I wanted to send a plug that you have the option to enable Autopay in brightwheel. This means your payment method on file will automatically be charged the day an invoice is due.
You will still receive a payment confirmation email/text, but this way you don’t need to worry about going into brightwheel to make a payment each time. Just sharing this tip! 😊
6. Check-in/out Launch
Hello everyone! We are excited to announce that we will begin using brightwheel to check your children in and out of our program starting [Date]. This quick and easy system uses a QR code and your cell phone to accurately track your child's attendance. Soon, you’ll receive an email invitation from brightwheel. When you do, download the mobile app on the Apple or Android app store. You’ll then create your account with the same email you were invited with, and when you sign up make sure you select Join a School instead of creating a new one. Then, voila, you’ll be ready to go!
