What is the easiest way to move families from one of my program locations to another?

While there is not a direct way to transfer students profiles, you can copy students and their families between your locations so they appear at the new site!

To copy students to another site, this resource covers how to download your student list from the first location and upload it to the second. This will automatically create their profiles there, saving you time and manual effort!

Note: This process just copies the student and it does not remove them from the old site. If they're not attending there anymore, you'll need to archive them at the previous location by changing their enrollment status to 'Removed.'


Step 1: Create a temporary 'Transfer' homeroom

To help organize the students, at the current location, create a new homeroom called 'Transfer' or 'Transfer to [Location Name]'. Then, simply assign the students who are moving to this new room.

  2. Tap + New Room

How to place students in the room

You can assign individual students to the transfer room from the child's 'Room' section on their profile.

If you have multiple students transferring, you can do this for many students at once. Here's how:

  1. From the My School > Rooms page, click into the students current room

  2. Check the box next to the students who will transfer

  3. Click Change homeroom

  4. Select the new 'Transfer' homeroom

Step 2: Export your current student roster

Next, you'll want to export your student roster with the list of students transferring. To do this, from the web click My School > Students. In the top right, filter for the 'Transfer' room in the drop down, then select Export Roster.

Once you've downloaded the Excel file, make any necessary updates to the student info, save your changes, and name the file something clear like 'Transfer to [New Location Name]'.

Step 3: Upload students to the new location

Now, switch to the location where the students are moving to and upload that student list. Go to My School > Students > Add students > Bulk upload.

Once you upload the Excel file, our team will set up the profiles for you by the end of the following business day. We will email you when it's done!

🚩 Note: Only information included on the roster file will transfer over to the new location. Data such as immunization records, documents, and specific payment plans cannot be copied over to the new location.
