With enrollment statuses, you can instantly organize every student by their enrollment standing, such as prospective, active, or graduated.
Track your admissions pipeline by moving students through statuses like Prospect, Toured, Applied, and Enrolled. Then when a student leaves, assign a Graduated or Inactive status to hide their profile while retaining historical records for licensing.
It's the simplest way to manage students from their first tour to graduation day.
Available enrollment statues
The following enrollment statuses are available in brightwheel: Active, Graduated, Inactive, Removed, Duplicate, Prospect, Toured, Applied, Waitlist, and Enrolled.
Statuses primarily help with filtering your students, but we recommend the following uses.

Active | For students who are currently attending your program. |
Graduated, Inactive, | For former students. |
Removed | For former students or those who didn't complete the admissions process.
Note: A Removed status hides a student's daily activity feed from guardians and staff, and deletes billing plans and any upcoming invoices. It's reversible by changing the status, but not recommended if families need ongoing access to activity feeds. |
Duplicate | For students with duplicate profiles. |
Prospective, Toured, Applied, Waitlist & Enrolled | For prospective students in your admissions pipeline who are not yet attending. |
Change a student's enrollment status
It is important to keep student statuses updated to ensure you have correct enrollment numbers and for easy student filtering. Providers can individually update statuses or efficiently update multiple statuses in bulk.

💡 Tip: How to manage former students. You can change the student's status to Inactive, Graduated or Removed to hide their profile from view. Visit Remove students for steps to archive students with statues or delete permanently.

Set students to Active automatically
Providers can automatically set a student's status to Active on their start date.
Log in on the web
Go to My School > Students in the sidebar menu > Select a student profile
In the "Enrollment Details" tile, click Edit > Select a future Enrollment date > Check the box Set Status to "Active"
Hit Save when finished
Note: When the date comes for the student to be set to Active, administrators are notified of this change via email. This is a helpful feature if you have students who have made it off a waitlist and will be attending in the next enrollment cycle.
View all students regardless of status
By default, brightwheel filters student lists to show only students with an Active enrollment status. Providers looking to view all students regardless of enrollment status should remove any status filters when searching.
On the web
From My School > Students on the web, you can filter students by status Student status drop down or click X to remove the status filter.
On the app
In rooms on the mobile app, you can customize student status filters. This helps ensure only relevant students are displayed.
From the Administrator Home page, tap Rooms
Once in the room, tap Manage (on iOS) or the settings gear (Android)
Tap Student Statuses filter, then select the statuses you wish to see
Hit Save when finished

Before a future set to active date can be selected, the student must first have an inactive enrollment status (E.g. Enrolled, Applied, etc.).

If students are missing or inactive ones appear in rooms incorrectly, we recommend checking the status filter to ensure the correct students are not being filtered out.
When should I used a Removed enrollment status?
When should I used a Removed enrollment status?
Unlike other statuses such as Inactive or Graduated, setting a student to Removed will hide the student's entire historical activity feed from all users—this includes both staff (admins/teachers) and parent/guardian contacts.
This status is ideal if you want to hide a student's daily activities from guardians and staff, and automatically delete associated billing plans and upcoming, or unposted invoices.
This action is fully reversible. You can restore visibility and access for everyone at any time by simply changing the student's status from Removed back to any other status (like Active or Inactive).
