Immunization Tracking and Reporting
Keep student's immunization records up to date and report on overdue and upcoming doses in accordance with the CDC recommendations.

The Student Profile enables school administrators to track each student's immunization records. Brightwheel has created this table in accordance with the CDC's recommendations. That said, we have set up this feature to empower users to tailor the immunization settings to only display the immunizations that your program collects and tracks. 

Please Note: The student must have a birthday entered to have the immunization table display.

Immunization Settings

The immunizations table located in the student profile tracks past student immunization dates and calculates overdue and due vaccines based on CDC recommendations. You can adjust the settings to display only the immunization that your program tracks. 

School Immunization Settings

To adjust the immunizations that display on the immunizations table:

  1. Navigate to a student's profile

  2. Scroll down to the Immunizations section and click Immunization Settings

  3. Uncheck the box next to any immunization that you do not wish to track or display and click Apply

Please Note: These settings are school-wide, if you uncheck an immunization, it will no longer be displayed for any of your students. 

Student Immunization Notes

In addition, brightwheel allows administrators to mark a specific student as Exempt or set them on a Catch-up Schedule. This is also a great place to add any additional notes. 

To update these settings:

  1. Navigate to the student's profile

  2. Scroll down to the Immunizations section and click Edit  in the top right hand corner of the Notes box

  3. Check the relevant box and/or add your notes and click Save


Recording Immunizations

Administrators in brightwheel can add immunization dates to a student's profile at any time. At the top of the Immunization section for each student, there will be a list of due and overdue doses according to the student's birthday and the CDC's recommended schedule. These will also appear on the table as green or red boxes respectively. 

To add the dates of immunizations:

  1. Navigate to the student's profile

  2. Scroll down to the Immunizations section and click Edit All Dates located in the top right hand corner of the immunizations table

  3. Use the date picker or enter dates in a mm/dd/yyyy format

  4. Once all the dates have been entered click Done

  • Due: Many immunizations have a recommended timeframe that the student should receive that dose. Once a student has aged into that timeframe you will notice there will be a green Due box appear. 

  • Past Due: Once a student has aged past the lated recommended age for a specific immunization dose the box will change to the red Overdue box.

  • Skip Dosage: Each immunization dose has the option to Skip, just check this box and it will no longer appear as due or overdue on any of your reports. 


Immunizations Reports

Teachers and staff can report on student immunization records from the reports section of the brightwheel web app. 

  1. Immunization Records - Displays all immunizations by school, room, or student.

  2. Immunizations Due & Overdue - Uses the CDC schedule and information about immunizations from each student profile to calculate which shots are upcoming and overdue.

  3. Custom Immunization Report - Administrators can pull immunization exemption data and offers flexibility to organize that data in a way that best fits your program. Review our Custom Reports Help Center article for more details.
