[For Admins + Managers] Keep up to date student immunization records in accordance with the CDC recommendations.

A student's profile allows program Admins, Managers, and Lead Staff roles to track each student's immunization records as long as the student has a birthday added.

Brightwheel has created this feature in accordance with the CDC's recommendations. That said, we have set up this feature to empower users to tailor the immunization settings to only display the immunizations that your program collects and tracks.


Immunization Settings

The immunizations table located in the student profile tracks past student immunization dates and calculates overdue and due vaccines based on CDC recommendations. You can adjust the settings to display only the immunization that your program tracks. 

School Immunization Settings

To adjust the immunizations that display on the immunizations table, follow the guidance below. This setting is school wide so if it's altered on one student's profile, it will be applied across all other students as well.

  1. Log in on the web

  2. Click to open the My School menu option and select Students

  3. Click a student's name to open their profile

  4. Scroll down to the Immunizations section

  5. Click Immunization settings

  6. Check/uncheck the boxes next to any immunizations you want to track/not track

  7. When finished, click Apply

Student Immunization Notes

In addition, brightwheel allows Admins, Managers, and Lead Staff to mark a specific student as Exempt or set them on a Catch-up Schedule. This is also a great place to add any additional notes. 

  1. Log in on the web

  2. Click to open the My School menu option and select Students

  3. Click a student's name to open their profile

  4. Scroll down to the Immunizations section

  5. Click Edit in the NOTES tile

  6. Click the checkbox next to any applicable option (Catch-up schedule or Student exempt)

  7. Any any optional Notes

  8. When finished, click Save


Record/Update Immunizations

Admins, Managers, and Lead Staff in brightwheel can add immunization dates to a student's profile at any time. At the top of the Immunization section for each student, there will be a list of due and overdue doses according to the student's birthday and the CDC's recommended schedule.

  1. Log in on the web

  2. Click to open the My School menu option and select Students

  3. Click a student's name to open their profile

  4. Scroll down to the Immunizations section

  5. Click Edit all dates located above the immunizations table

  6. Use the date picker or enter dates in a mm/dd/yyyy format
    💡 Each immunization dose has the option to Skip, just check this box and it will no longer appear as due or overdue on any of your reports

  7. Once all applicable dates are entered/updated, click Done

  • Due: Many immunizations have a recommended timeframe that the student should receive that dose. Once a student has aged into that timeframe you will notice there will be a green Due box appear.

  • Overdue: Once a student has aged past the lated recommended age for a specific immunization dose the box will change to the red Overdue box.


Immunizations Reports

Admins can report on student immunization records from the reports section of the brightwheel web app. 

Displays all immunizations by school, room, or student

Uses the CDC schedule and information about immunizations from each student profile to calculate which shots are upcoming and overdue.
