Fix CACFP claim check errors that may impact reimbursement

Claim checks help ensure your CACFP claims match your actual attendance and meal data, reducing errors that could impact reimbursement. Instead of manually reviewing your data, brightwheel flags potential errors so you can fix them quickly in one place before you submit.

How to read claim checks

From the claim check view, days are categorized as:

  • ‘Needs attention’ = should fix

  • ‘Review recommended' = verify accuracy and dismiss if appropriate

Steps to fix

When resolving flagged items, you can add missing attendance records, remove duplicate meals, correct meal types, modify student CACFP statuses, or record missing meals directly from this page

  1. Log in on the web

  2. In the sidebar menu, click My School > Menus > Claim checks tab

  3. (Optional) filter by status, room, or month

  4. Click View next to a date that needs attention

  5. Click Fix to correct an issue, or Dismiss if no correction is needed

💡 Tip: Any changes you make in claim checks update the attendance and meal data in brightwheel, so your CACFP reports will reflect the corrections when you pull them.


Dismiss a review recommendation

If an issue is flagged under 'Review recommended' but the data is actually correct, you can dismiss it so it doesn't appear again. For example, if a student genuinely had four meals in one day and you know you'll only claim three, you can dismiss the "more than three meals logged" flag after confirming the data is accurate.

  1. Click on the day with the review recommendation

  2. Find the item you want to dismiss

  3. Click Dismiss


Access your CACFP reports

After reviewing and fixing any flagged issues, you're ready to pull your CACFP reports for reimbursement.

From the Claim checks tab, click View CACFP reports at the top of the page. This takes you directly to your CACFP reporting options where you can pull the data needed for your sponsor.

Do I need to fix every flagged issue before pulling my reports?

Not necessarily. Items flagged as 'Needs attention' (like missing attendance or duplicate meals) should be corrected to ensure accurate claims. Items under 'Review recommended' might not need fixing if your data is accurate. You can dismiss those items if they're correct.

If I fix an issue, will it update my CACFP reports automatically?

Yes. When you correct an issue in claim checks, it updates the underlying attendance or meal data in brightwheel. When you pull your CACFP reports after fixing issues, those reports will reflect the corrected information.

Can I fix issues without using claim checks?

Yes. You can still correct attendance and meal data directly in the Attendance or Feed sections of brightwheel. Claim checks just make it easier by showing you all potential issues in one place organized by day.
