How payers can pull year-end tax statements

[For Guardians] Learn how payers can access their payment summary for 2025 taxes.

Brightwheel offers an easy-to-download, year-end tax statement right in payer accounts. The statement includes:

  • Your provider Employer Identification Number (EIN) (for U.S. programs, if applicable)

  • Your provider digital signature (for Canadian programs, if added by your admin)

  • All payment activity by all student payers for the given tax year

Disclaimer: This video is not updated for the 2025 tax season, but you can follow the same steps to access this year’s statement.


Access year-end tax statement (for payers)

Payers can take the steps below to export their year-end tax statements as long as they still have access to the child's profile and were not removed as a payer. If you have multiple children, repeat these steps for each additional child or different program.

Your year-end tax statement will be ready by January 31. We recommend waiting for it, but a simplified payments export is available if needed. Canadian payers may especially wish to wait, as statements will include the program admin’s digital signature (if provided).

  1. Log in to your brightwheel account

  2. Go to Payments and select a student (if multiple)

  3. Scroll to click the Statements tab

  4. Select Export next to Family 2025 payer tax statement

  5. Choose to download or send the statement to your email


View payment records before tax statements

If statements are not ready and you are unable to wait for the statement, you can manually export a simplified record of payments with a Payments & Credit Summary, outlined below.

  1. Log in to brightwheel

  2. Open Payments > Select your student

  3. Click Payments & Credits > Export

  4. Choose the date range 1/1–12/31 (run after 12/31 for a full-year summary)

  5. Download the file and repeat for additional students if needed

💡 Tip: On the Payments & Credit Summary, use the Total Payments (if one payer) or Paid by tiles (if multiple payers) at the top of the exported report to determine the payments made in the selected date range


Export tax statements on behalf of payers (as an Admin)

If payers can't export it themselves or need assistance exporting their tax statement, providers can export the tax statement on the payers' behalf.

FAQs

What's included in year-end tax statements?

  • Provider information

    • Program name, physical address, and EIN (if applicable).

  • Date range

    • Range selected when generating the report.

  • Total payments

    • Total paid in the prior calendar year, shown at the top of the summary. If there were multiple payers, use the “Paid by” tiles to see each payer’s amount.
      💡 Tip: If only one payer → use Total Payments tile. If multiple payers → use the Paid by tiles.

  • All activity

    • Payment/credit details including:

      • Date

      • Who made the payment

      • Payment method used

      • Payment amount

      • Status of the payment

      • What invoice the payment applied to

      • How much of the payment was allocated to the invoice, what the payment was for, and dates of service (if applicable).

  • Digital signature

    • Provider signature shown at the bottom. This is to ensure compliance for Canadian programs and is an optional enhancement for U.S. programs. Year-end statements will only contain a signature if your program admin has decided to add one.

What if I'm no longer connected to my child in brightwheel?

If you are no longer connected to your child's profile at a previous program, please contact the previous program for further assistance. They can reconnect you or provide you with your payment summary.
