Locate and Edit Check-in Code

[For all users] How to view and update your 4 digit code that is used to check students and staff in and out of a program.

Every user with a brightwheel account has a check-in code assigned to them upon the account's creation.

  • Parent, Family, and Approved Pickup contacts for students will use this code to check the student in and out of the program.

  • Staff roles will use this code to check themselves in and out of the program.

ℹ️ Some states require parent signatures as part of licensing standards and a Check-in code is a digital equivalent. Admins are encouraged to check out this article to learn more and consult with their licensing authority.


Locate and Edit Check-in Code on the App

All users can locate and edit a check-in code from the mobile app following the guidance below.

  1. Log in to brightwheel on the mobile app

  2. Tap the three horizontal lines in the top-left hand corner and select Edit profile

  3. Scroll down to locate your Check-In Code and tap it

  4. Input a new 4-digit check-in code in the popup
    🚩 If your code matches that of another staff or parent, a warning message will be shown, you can still save and use that code but it is not recommended

  5. Tap Set Code


Locate and Edit Check-in Code on the Web

While staff can only edit a check-in code on the mobile app, Parent, Family, and Approved Pickup contacts for students can also edit a check-in code on the web.

  1. Log in to brightwheel on the web as a Parent or Approved Pickup

  2. On the side menu, click My Profile to open the page

  3. In the CHECK-IN CODE tile, click Edit

  4. Change the 4-digit code as desired

  5. Click Save


Locate Check-in Code for Student Contact as a Staff Member

There may be times that a staff member needs to locate a Parent, Family, or Approved Pickups check-in code on their behalf. All staff roles (Admin, Manager, Lead Staff, and Staff) can locate a student contact's check-in code following the guidance below on the web.

From the Parent List:

  1. Log in to brightwheel on the web

  2. Click to expand the My School menu option

  3. Select Parents

  4. Determine if the student contact's code you're looking for is a Parent, Family, or Approved Pickup and open the applicable tab at the top of the page

  5. Locate the student's row and the student contact

  6. Under the CHECK-IN CODE column, click Reveal

💡 To reveal all codes for all student contacts on that page, click Reveal all at the top of the column!

From the Student Profile:

  1. Log into brightwheel on the web

  2. Click to expand the My School menu option

  3. Select Students

  4. Locate the student and click their name to be taken to their profile

  5. Scroll down to Contacts

  6. Under Code, hit Reveal to see the contact's check-in code

Why am I being asked for the last four digits of my phone number when I try to use my check-in code?

Check-in codes are used to distinguish who is using the kiosk. The check-in kiosk will ask for the last 4 digits of a user's phone number when their 4-digit code is the same as another parent, family member, approved pickup, or staff member at your program. The kiosk uses the phone number to determine which user has entered the code, since it isn't unique.

To straighten this up, the staff member or parent can follow the steps here to Locate and Edit Check-in Code so it's no longer the same as another user.

Can a parent use their check-in code if they have not activated their brightwheel account?

Yes! If a parent has not activated their account, a staff member can look up their check-in code online and it will work the same. You can find this code from the Parents tab in the brightwheel web app and clicking Reveal next to the parent's name.
