Check in your child

[For Guardians] Learn how to check a child in and out as student contact from a kiosk, or by scanning a QR code.

Student contacts listed as a Parent, Family, or Approved Pickup can easily and securely check their child in and out of the program through the brightwheel app. Depending on your program's preference, you'll either scan a QR code from your phone or enter a 4-digit check-in code at a kiosk.

💡 Not sure how your provider does check-in? Please reach out to a program administrator. Each program conducts attendance differently and not all steps below will apply to your student.


How to check in a student

  1. On the check-in kiosk or in the brightwheel app, enter your 4-digit check-in code or scan the QR code

  2. Select the child or children you're checking in or out

  3. (Optional) Tap the pencil icon to add pickup or drop-off notes that staff will see, and select which room they are in

  4. Review any health screening questions and sign if required

  5. Tap Check-in/out

  6. Wait for the green confirmation message

Important notes:

  • By default, children are checked in/out of their assigned homeroom, but you can select another assigned room when checking them in/out.

How to scan a QR code

Your program may show a QR code at pickup and drop-off for touchless check-in. You can scan it two ways: through the brightwheel app or using your phone's native camera app. Either way, make sure the brightwheel app is downloaded and you're logged in.

  1. Open the brightwheel app and tap Check-in/out on the Home screen (or use your phone's camera app to scan the code)

  2. Center the camera on the QR code and a screen with your child's profile will appear. You may need to tap the centered QR code.

  3. Tap the pencil icon to add pickup or drop-off notes that staff will see, and select which room they are in

  4. Select your child and add any notes or health screening information

  5. Tap Check-in/out

  6. Enter your 4-digit check-in code

  7. Wait for a green confirmation message


FAQ

↓ Why am I getting the error message "Quick Scan not supported. This feature is not supported at your school."

This means your program has not enabled Quick Scan to be used. Please reach out to your program if you have any questions, or need an alternative way to check your child in/out.

↓ Why am I getting the error message "Can't access camera"?

This means you most likely have not granted brightwheel camera permissions on your mobile device. Please follow the steps below to grant brightwheel camera access during drop off and pickup.

iPhone

  1. Open the “Settings” app on your phone.

  2. Go to “Privacy” in the settings.

  3. Choose “Camera” from the privacy settings list.

  4. Locate the brightwheel app you want to enable camera access for and toggle the setting ON camera for that app.

Android

  1. On your phone, open the Settings app.

  2. Tap Apps & notifications.

  3. Tap the app you want to change. If you can't find it, first tap See all apps or App info.

  4. Tap Permissions. If you allowed or denied any permissions for the app, you’ll find them here.

  5. To change a permission setting, tap it, then choose Allow

↓ Why am I getting the error message, "No students found at this school" when scanning the QR code?

Likely this means the QR code you scanned is not correctly associated with the child's program. Please reach out to your child's program to confirm the QR scanned is correct and set up for use.

↓ How do I confirm my child was successfully checked in?

Once you complete the check-in process, the screen will display a green "Success" message indicating the check-in action was successful.

Additionally, navigate to your child's Feed on the mobile app to view check-in/out actions recorded and filter for Check Ins & Outs as needed.
