[For Guardians] Learn how to check a child in and out as student contact from a kiosk, or personal device by scanning a QR code!

Student contacts listed as a Parent, Family, or Approved Pickup can easily and securely check their child in and out for the day within the brightwheel mobile app! Student contacts can check their child in by scanning a QR code from their personal device, or entering their 4-digit check-in code on a school’s kiosk, depending on the preference of their program.

💡 Not sure how your child’s program does check in? Please reach out to a program administrator! Each program conducts attendance differently and not all steps below will apply to your student.


How to Check in a Student

  1. On the program check-in kiosk, enter your unique 4-digit check-in code on the keypad, or scan the QR code directly from your brightwheel app if available.

  2. If applicable, select from the drop-down the room you are dropping off, or picking up in. By default children will be checked in/out of their assigned homeroom.

  3. Tap Check In, or Check Out next to the relevant child(ren)

  4. Optionally, tap + Add Info to complete a drop-off form and share any relevant notes with program staff

  5. Tap Confirm

  6. If available, sign your digital signature and/or complete any Health Screens for the relevant child(ren)

  7. Wait for a green check mark to appear to confirm successful attendance

Some programs might choose to display a digital QR code on their kiosk, or print a QR code for touchless check in. Check out our Scan a QR Code section below for steps on how to scan!


Scan a QR Code

If your program provides a printed, or digital QR code at pickup and drop-off, guardians can do touchless check-in/out by scanning the QR code directly from the brightwheel app!

  1. Log in to the brightwheel app using a guardian account

  2. Tap Check in/out at the bottom of the Home screen

  3. Center the camera on the QR code until a new screen appears with your child(ren)

  4. If applicable, select from the drop-down the room you are dropping off, or picking up in. By default children will be checked in/out of their assigned homeroom.

  5. Tap Check In, or Check Out next to the relevant child(ren)

  6. Optionally, tap + Add Info to complete a drop-off form and share any relevant notes with program staff

  7. Tap Confirm

  8. Enter your unique 4-digit check-in code and complete any remaining steps

  9. Wait for a green check mark to appear to confirm successful attendance

🚩 QR codes can only be scanned directly from the brightwheel mobile app. QR codes cannot be scanned through a device's camera app.


Check-in Code

Each user has a unique 4-digit check-in code automatically assigned to them and can be customized at any time. Codes can be found and edited in your brightwheel account.

FAQ

↓ Why am I getting the error message "Quick Scan not supported. This feature is not supported at your school."

This means your program has not enabled Quick Scan to be used. Please reach out to your program if you have any questions, or need an alternative way to check your child in/out.

↓ Why am I getting the error message "Can't access camera"?

This means you most likely have not granted brightwheel camera permissions on your mobile device. Please follow the steps below to grant brightwheel camera access during drop off and pickup.

iPhone

  1. Open the “Settings” app on your phone.

  2. Go to “Privacy” in the settings.

  3. Choose “Camera” from the privacy settings list.

  4. Locate the brightwheel app you want to enable camera access for and toggle the setting ON camera for that app.

Android

  1. On your phone, open the Settings app.

  2. Tap Apps & notifications.

  3. Tap the app you want to change. If you can't find it, first tap See all apps or App info.

  4. Tap Permissions. If you allowed or denied any permissions for the app, you’ll find them here.

  5. To change a permission setting, tap it, then choose Allow
