[For Admins] Easily run reports that aggregates data from multiple locations within your brightwheel organization

Brightwheel offers a easy way to run reports across multiple locations within your brightwheel organization with just a few clicks! Brightwheel's Multi-Site Reporting allows administrators to gain a bird's eye view of data across multiple locations all in one place.

Administrators can leverage this feature to help inform their day-to-day operation needs, or broader business decisions! This resource will walk you through how to run a Multi-Site Report and the various reports available.


Run Multi-Site Report

  1. Log in to brightwheel on the web as a Multi-Site Administrator, or with a Organization Reports role

    1. If you are a Multi-Site Administrator, click on the Workspace tile in the bottom left corner above your profile name tile > in the pop-up, click Organization

  2. Under Home, click View Report to display pre-made Meal and Attendance reports

    1. Review our Meal Report and Attendance Report section for steps on filtering and leveraging these reports

  3. Optionally, click the Custom Reports tab on the left sidebar to run custom reports across multiple locations

  4. To exit and return to one location, click the Workspace tile again and select a location

ℹ️ Users can only access multi-site reports at the locations they are listed with a Multi-Site Administrator, or Organization Reports role. Please contact another Multi-Site Administrator if you need access to additional locations.


Available Multi-Site Reports

Multi-Site Administrators and users with the Organization Reports role can pull the following reports across locations within the Multi-Site Dashboard section of the brightwheel web app:

  1. Multi-Site Meal Report - View the number, type of meals, and meal status (free, reduced, or paid) in a selected date range across all or specific locations.

  2. Multi-Site Attendance Report - View how many days students were present and their subsidy status in a selected date range across all or specific locations.

  3. Multi-Site Custom Report - Create unique views of your student and staff data across all or specific locations.

Multi-Site Meal Report

  1. From the Home tab on the Multi-site Dashboard, click View Report

  2. Select a Date range

    1. Optionally, filter by specific location, or Meal Status. All locations will appear by default if data is available for the selected parameters.

    2. Optionally, check the Show student Information box to view student names and specific meals

  3. Click Apply

  4. Click Reset All to clear selected parameters

  5. Click Grand Total to view total meal counts across all locations

  6. Click Export to download to send report to a specific email

Multi-Site Attendance Report

  1. From the Home tab on the Multi-site Dashboard, click View Report

  2. Select a Date range

    1. Optionally, filter by specific location, or Subsidy Status. All locations will appear by default if data is available for the selected parameters.

  3. Click Apply

  4. Click Reset All to clear selected parameters
