Transfer students between program locations (for multi-sites)

[For All Staff] Learn how to transfer students between schools within your organization.

Multi-site administrators can easily transfer students between their program locations in the case a student starts attending a new site or is attending multiple.

Note: Transfers are only available for programs with multiple locations within their brightwheel organization. If you need to add additional schools, please contact the brightwheel Support Team.


Transfer students to a new location

Multi-site admins can transfer students from their Organization dashboard. During a transfer, you can set the student's enrollment status at both the new and old location(s), making it easy to archive students at their original school if needed.

Note: For custom student profile fields or attachments to transfer, the same fields and attachment types must already exist at the destination school. For more details, visit Tips for transferring custom fields and attachments.

  1. Log in on the web

  2. Click Workspace tile > Organization in the sidebar menu

  3. Select Students

  4. Select the checkbox(es) next to the transferring student(s) > Transfer Students


What information transfers over?

Transfers

Does not transfer

  • Most student profile fields

  • All student contacts

  • Immunizations

  • *Custom student profile fields

  • *Profile attachments

*Data will only transfer over if the same custom profile field and attachment type exist at the destination location.

  • Student enrollment details

  • Billing (E.g. invoices, bill plans)

  • Forms & paperwork

  • Activities

  • Messages

  • Integration data (E.g. KinderConnect provider ID)


Tips for transferring custom fields and attachments

For a smooth transfer of student profiles, ensure that profile attachments and custom fields already exist at the destination school.

Profile attachments

For profile attachments to transfer over, the Attachment Type (e.g., "Student Physical") assigned to the existing attachment must be created at the destination school first.

You can create a new type by navigating to the destination location, pretend to add a profile attachment to a student profile, type the name of the attachment type you need (capitalization doesn't matter), then press + Click here to create.

Custom fields

Similarly, any specific custom profile fields you want to transfer must already exist at the new school with the same name (capitalization doesn't matter). You can create new custom fields easily on any student profile. Find steps here: Add your own custom fields to student profiles.


FAQs

Does transferring delete the student profile at the original location?

No, not automatically. You will have the option to archive the profile at their original location when transferring, but this still maintains the profile for your records.
