Billing tools for multi-site organizations

Brightwheel's multi-site billing tools bring everything together in one place. You can stay on top of reports, bill plans, balances, and student setup across your entire organization. These tools reduce duplicative admin work and help ensure consistent revenue.

This article covers the four multi-site billing tools in the Organization dashboard.


Multi-site billing reports

Providers can pull financial data across all their locations at once instead of running reports site by site. Multi-site billing reports show you payments received, outstanding balances, and invoice activity across any combination of your locations.

This is especially helpful for end-of-month reconciliation or spotting trends across your organization.

To run a multi-site billing report

  1. Login on the web

  2. At the top of the left sidebar menu, click the current program name

  3. Select Organization - manage all locations

  4. Hit Reports in the sidebar to select a report

Multi-site bill plan templates

Providers can create bill plan templates once and apply them across any locations needed. No need to set up the same plan at each site individually.

Bill plan templates let you define a standard billing structure (like a monthly tuition plan) at the organization level. You can then make it available to any location. This saves time and keeps billing consistent across your program.

To create a bill plan template

  1. Log in on the web

  2. At the top of the left sidebar menu, click the current program name

  3. Click Billing in the sidebar menu > Library tab

  4. Hit Create a new plan template

Multi-site At a glance tab

See unpaid balances and recent payments across all your locations in one view.

The At a Glance tab shows the same billing widgets and tables available on the single-site tab, but at the organization level. You can quickly understand how billing is tracking across your entire organization.

You can access the At a glance tab here.

What you'll see

  • Open invoices as of today

  • Payments in the last 35 days

  • Unpaid Balances (searchable, filterable)

  • Recent Payments (searchable, filterable)

Note: From the the multi-site At a Glance tab, you can choose to View account balance, Log a payment and Send a reminder for individual students. This will open up the individual site where you can take the action.

To filter by location

You can select the Locations drop down in the top right. If you choose one or more location, all widgets and tables will update with those locations.


Multi-site Students tab

Providers can see billing setup status for students across all their locations. This helps you spot gaps before they impact your cash flow.

The Students tab in the Organization dashboard shows whether your students are set up with bill plans, payment methods, and autopay. These are the three things that help ensure you get paid on time, automatically.

Instead of checking each location individually, you can see your entire organization's billing health at a glance.

What you'll see

  • Summary stats – how many students across your selected locations have bill plans, payment methods, and autopay enabled

  • Students table – searchable, filterable list of students and their billing setup status

Actions you can take from the Students tab

  • Set up bill plans

  • Invite families to make payments

  • Click into a student billing profile

  • View bill plans

When you choose any of these actions, this will open up the individual site in a new tab where you can take the action.

To filter by location

You can select the Locations drop down in the top right. If you choose one or more location, all widgets and tables will update with those locations.
