Create reusable billing plan templates

Billing plan templates help you quickly create consistent billing plans for new students. Templates include charges and payment schedules, so you don’t have to recreate plans for each student.

Templates can be created at:

  • A single site, for use only at that location

  • Across multiple sites, so multiple locations can reuse them


Create templates at a single site

  1. Log in on the web

  2. From the sidebar menu, click Billing > Library

  3. Press Create a new plan template

  4. Build your template, then hit Create billing plan template to save

Once you’ve created a template, you can use it to build billing plans and assign them to students to generate actual invoices. Learn more in Create billing plans.

Note: If you create a brand new bill plan from scratch and assign it to students, you'll also see the option to save it as a template for future use. Click Save as a template for future use? in the top right before creating.


Create templates across multiple sites

Multi-site Admins with multiple locations in brightwheel can create organization-wide bill plan templates that are standard billing plans stored in one central library and shared with select locations.

Note: Individual sites can still make their own templates if needed, but you can always ask them to only use yours.

How it works

Locations assigned a template can use it to quickly create billing plans for students at their individual location and customize details like discounts, service dates, or notes.

Admins at individual locations can’t edit the original templates, which helps keep billing consistent across your organization. They'll see a locked icon indicating they won't be able to edit it.

Steps to create

  1. Log in on the web

  2. In the sidebar menu, click Workspaces > Organization

  3. Under Billing, hit Create a new plan template

  4. Build the template, then select the locations with access
