Build form templates across multiple locations (for multi-sites)

[For Multi-site Admins] Learn how to create organization-wide forms for easy sharing across all your schools.

Multi-site providers can now create and manage standardized form templates across all program locations. Once a form template is shared with a location, school admins can customize it with site-specific details before sharing with families.


Create and share form templates with locations

Forms can be created and shared across your program locations from the Organization dashboard. Once you grant a location access to the template, this automatically populates the form in the local brightwheel accounts for your admins to build off of.

After a location gets access to a template, the local admin will receive an email notification with instructions on how to access it.

  1. Log in on the web

  2. Click Workspace tile > Organization in the sidebar menu

  3. Hit Create new > Select the form type

  4. Select the location(s) that should have access to the form template.


Edit form templates

Changes made to a form template at the organization level will appear on templates already shared with local admins, but won't affect the forms they already created from the template.

  1. Log in on the web

  2. In the sidebar menu, click on the Workspace tile

  3. Select Organization

  4. Click Actions > Edit next to the template


Mange school access

Multi-site admins can select which locations can use the template.

If you remove access, this will prevent locations from creating new forms from it. Alternatively, multi-site admins can close a form template which revokes access to the template for all locations.

A form template can be made active again by sharing the template with locations.

Note: Forms that have already been created from this template will not be affected when you remove access.

Grant or remove individual school access

  1. Log in on the web

  2. Click the Workspace tile > Organization in the sidebar menu

  3. Select Actions > Manage access next to the template

  4. Grant or remove access, then hit Save

Close a form template

  1. Log in on the web

  2. Click the Workspace tile > Organization in the sidebar menu

  3. Hit Actions > Close next to the template


Duplicate form templates

Duplicating a form template will not share it with the same locations as the original copy.

  1. Log in on the web

  2. Click the Workspace tile > Organization in the sidebar menu

  3. Hit Actions > Duplicate next to the template

  4. Select the sites that should have have access or removed access


Delete form templates

Deleting a template will remove it from your template list and prevent locations from creating new forms from it. Forms that have already been created from this template will not be affected.

  1. Log in on the web

  2. Click the Workspace tile > Organization in the sidebar menu

  3. Hit Actions > Delete next to the template


FAQS

Can I see form submissions for all sites?

You can see form submissions by navigating to a specific location's Paperwork tab on the web. You cannot see form submissions at the organization level.

How do local admins access templates?

School admins will access templates shared with them by creating a form and selecting a template from the Organization templates section of the pop up that appears. Our resource Create a form using an organization template can be sent to admins with steps.

Can I share forms with families from the Workspace > Organization page?

Forms can't be shared with families directly from the Workspace > Organization page. Instead, grant each location access to the template, then share it with families from that location's brightwheel account via the Paperwork > Forms & Requests tab.

Can I share packets across sites?

Currently, only individual form templates can be shared.
