With brightwheel's Tuition Agreements, you can easily send your tuition contract to families with your policies, pricing, discounts, and any bill plans assigned to their child.
Families can review and sign your contract while adding their payment method in one seamless step, ensuring clear expectations and a smooth start to billing!
Tuition Agreements are classified as forms within the Paperwork tab, but can also be sent from your Billing tab.
Create a Tuition Agreement
Agreements can be created by typing it directly, uploading an existing file, or customizing one of our sample templates. You can also add custom fields to collect extra information along with a signature.
You can create a Tuition Agreement in two ways depending on your workflow: when assigning a student's bill plan or from the Paperwork tab.
Option 1: Create alongside bill plans (recommended)
The most streamlined way is to create the Tuition Agreement when building bill plans. You can create and send the agreement in a single step once you create those plans.
Log in on the web
Go to Billing > Select an action > Create bill plans
Choose your students, then click Next
In the pink banner, click Learn more & Enable to create and add your agreement. Follow the prompts and click Create plan(s) to finish.
Option 2: Create from the Paperwork section
If you are not ready to set up bill plans but still wish to create a Tuition Agreement, this can be done within the Paperwork section.
Login on the web
Click Paperwork in the sidebar menu
Select Create new (top right) > Contract > Tuition Agreement
Create the contract and hit Create when finished
Share Tuition Agreements
You can send a Tuition Agreement from the Paperwork tab or when assigning a student's bill plan. Both options will automatically show families any bill plans assigned to their child.
Option 1: Share alongside bill plans
You can save time by sharing Tuition Agreements when you create bill plans.
Go to Billing (on the web) > Create bill plans.
As you build the plan, click "Learn more & enable" in the top banner to attach the agreement
Continue through the steps and hit Create plan(s)
Option 2: Share from the Paperwork section
If you need to send an agreement but are not assigning or creating a new bill plan, you can do so within Paperwork.
Log in on the web
Click Paperwork in the sidebar menu
Next to the contract, click Actions > Send to parents (sends directly to their brightwheel account) or Copy form link (share a URL link to the form).
What families see
When you share a Tuition Agreement, the family will be notified they have a contract they need to sign in their child’s Paperwork section of brightwheel.
Once they access the agreement, they will see any billing plans their child has been added to, your program policy, and any other fields you include.
If the family hasn't already, they will be required to add a payment method to their account before submitting the agreement.
ℹ️ Note: If you have not added students to a billing plan yet, families will just see your agreement policy and no billing plan details will appear in the form.
