If staff can’t check in or out, or if you're unable to update a timecard due to an "open timecard" error message, it likely means the staff member has an open or overlapping timecard. This usually happens when someone forgets to check out.
Encountering an error message such as "This Timecard Cannot Be Updated. The Staff Member Already Has a Timecard Within This Time Period" is common in such cases.
Fix open timecard errors for staff
To resolve the issue, an Administrator will need to locate the open timecard and either add a check-out time or delete it. Once the timecard is updated, the staff member will be able to check in or out again and you'll be able to create new timecards without seeing the error. Verify the resolution by attempting to check in or out for the staff member to ensure the issue is resolved.
Log in on the web and go to Staff > Time tracking
Filter the records to simplify your search:
Use the All Time filter to display all records.
Select Show only open timecards to focus on unresolved entries.
Locate the specific open timecard:
Click on Actions > Edit next to the timecard.
Enter the correct check-out time and date for accuracy.
Save the changes by clicking Save to update the record in the system.
💡 Tip: Avoid this issue in the future by turning on the Auto Check Out setting. This setting automatically checks out any staff still signed in at midnight so they can check in the next day without a problem. It helps prevent last-minute stress during check-in, and you can always go back later to update the timecard.
