Using the Subsidy Attendance Report to Collect Weekly CCAP Signatures

Brightwheel’s Subsidy Attendance Report allows you to review daily check-in and check-out records as well as request and review the required weekly signature from a primary caregiver per DCC requirements for CCAP audits. Review the information below to ensure that you are following the correct steps once you have set up your account with check-in signature required.

Review the Subsidy Attendance Report and Request Signatures

  1. Under Reporting, click Reports

  2. In the Attendance section, select Subsidy Attendance Report

  3. Use the filters to select the attendance information that you would like to review.
    💡 Choosing “Active” in the Student Status filter will bring up students who are currently active in your program. If you would like to see any students with attendance records for the week that you’ve selected (including those that may no longer be enrolled), please remove the “Active” filter.

  4. Press Apply to see all students with attendance records listed below.
    💡 The toggle below will show you the first check-in and last check-out. By turning this on, you will be able to remove any moves between rooms that students made during the day, which do not require a signature or review.

  5. Use the scroll bar at the bottom of the screen to review the weekly attendance information for your students. Each check-in and check-out will either be marked as Signed or No Signature.

  6. For each student who requires a weekly signature from their primary caregiver, go to Weekly Signature column and press Request.

  7. In the “Select a guardian” field, find the primary caregiver who is responsible for approving CCAP attendance and press Send Request. Repeat for each student who needs a signature.

  8. Once all signatures have been collected, providers should press Export, Add Signature, and Download the report so that it is timestamped.


Edit or Update Attendance Records

Currently providers have two ways that they can edit and update an attendance record through brightwheel. The first, through the Check-In Report, allows for edits and updates to current records through the following steps:

Correct Attendance Errors

When running the Check-in Report, you might see a red banner alerting you that some students are missing attendance data or there are some attendance errors in the given date range. The report will flag the following errors:

  • A student was checked in but is missing a check-out

  • A student was checked out but was never checked in (which can happen if the check-in record was deleted)

  • A student who was checked in and marked absent on the same day

  • A student who has an attendance record spanning more than 24 hours

  • A student who has overlapping attendance records

If you have any of the above attendance errors, you can easily correct them from within the Check-in Report.

  1. Follow the steps above to create a report filtered for your needs

  2. Tap Review in the upper right corner of the red banner, or tap Get started in a blue banner if you have no attendance errors in the specific date range

  3. Once on the editing page, review all the students who need corrections to their attendance records

  4. [Optional] Use the the "Show only attendances with data issues" toggle or "Group rows by student" toggle to filter/sort your data

  5. Update, or add any missing dates, check-in times or check-out times by clicking on the applicable box

  6. Hit Update next to a record to save the edits

  7. To delete a record, hit Actions > Delete next to the applicable record

Add Historical Attendance Record

If you have a child who was not checked in/out or marked absent on a specific day, you can use the Check-In Report to add that past attendance record.

  1. Follow the steps above to create a report filtered for your needs

  2. Tap Review in the upper right corner of the red banner, or tap Get started in a blue banner if you have no attendance errors in the specific date range

  3. Select +Add attendance/absence in the upper right corner of the editing page

  4. In the pop-up box, type in the student’s name to have their name auto-populate in the box

  5. Complete the remaining fields to enter the room, date, check-in time, and check-out time.
    💡You can also use the Mark Absent toggle to add a past absence for a child!

  6. Hit Save to submit the attendance record


Adding an Attendance Report with a Signature

If a provider would like to add a check-in or check-out with a signature that was missed on a specific day or date, they can complete a check-in or check-out with the parent on-site so that it is added to the student’s feed.

Then, the provider can use the Check-In Report to edit the date and time for that check-in or check-out so that the signature is transferred to the correct date.
