Custom Fields on Student Profiles

[Admins + Managers] Learn how to create custom fields on student profiles to track program specific data!

With brightwheel, providers can create Custom Fields on student profiles to track crucial data for internal use, licensing, grant writing, and more!


Custom Field Permissions

Providers have full control over who can view and edit Custom Fields on student profiles. Here are some key functionalities to know:

  • Administrators and Managers can create, edit field names, and adjust visibility settings.

  • Lead Staff and Staff can view fields. Lead Staff can also edit field entries.

  • Parents can view and edit field entries.

To block Parents and Staff from viewing a Custom Field, providers can adjust visibility settings when creating or editing the field.

ℹ️ To allow Parents to view a Custom Field but not edit the field information for their child, turn off the setting Parents Can Edit Student Info.


Create Custom Fields

Staff with Admin or Manager permissions can create customs fields from the web. Once created, it appears on all student profiles under the Custom Fields portion of a child's profile, where data can be entered for each profile.

  1. Log in to the school's account on the web

  2. Click to expand the My School tab and select Students

  3. Select any student profile

  4. Scroll down to the Custom fields tile on a student profile

  5. Click + Add new field

  6. In the pop-up window, type the custom field name

  7. Under Field visibility, toggle the switches to determine if the field will be visible to staff and/or guardians

  8. Click Create field

ℹ️ Custom Fields can be created from the web. Once created, field entries can be viewed on both the web and mobile app.


Edit a Custom Field

Providers can edit the Custom Field name, and adjust if Staff and Parents can view the field. Any edits made to a Custom Field in this way will apply to all student profiles.

  1. Log in to the school's account on the web

  2. Click to expand the My School tab and select Students

  3. Select any student profile

  4. Scroll down to the Custom fields tile on a student profile

  5. Click Edit

  6. Select the pencil icon ✎

    1. Type the new field name

    2. Under Field visibility, toggle the switches to determine if the field will be visible to staff and/or guardians

  7. Click Save

  8. Select Yes, continue

ℹ️ Custom Fields can be created using brightwheel on the web. Once created, data entered in the field can be viewed on both the web and mobile app.


Delete a Custom Field

Deleting a Custom Field will remove it from all student profiles and permanently erase any associated data. Providers can delete Custom Fields from the web.

  1. Log in to the school's account on the web

  2. Click to expand the My School tab and select Students

  3. Select any student profile

  4. Scroll down to the Custom Fields tile on a student profile

  5. Click Edit

  6. Select the pencil icon ✎

  7. Click Delete

  8. Select Yes, delete


Enter Information in a Custom Field

Once a Custom Field is created, Admins, Managers, and Lead Staff can add information specific to each student from the web and mobile app, just like other profile fields

🚩 If the Custom Field is made visible to staff, only Lead Staff can edit the Custom Field entries for a student.

On the Web

  1. Log in to the school's account on the web

  2. Click to expand the My School tab and select Students

  3. Select any student profile

  4. Scroll down to the Custom Fields tile on a student profile

  5. Click Edit

  6. Type data in the field

  7. Select Done

On the App

  1. Login to brightwheel on the mobile app

  2. Select School Profile from the Administrator Home screen

  3. Click the Students box at the top of the screen

  4. Locate the Custom Fields section and enter the relevant information

  5. Tap Save when finished


Report on Custom Student Fields

Providers can export and print Custom Student Fields data from either the Student Details Report or using a Custom Report.

Export Custom Fields on the Student Details Report

  1. Log in on the web

  2. Open the Reporting page

  3. Click the Students tab at the top and select Student details

  4. Apply filters as needed

  5. Click Apply to view filtered results

  6. Click Export

  7. Select/deselect the columns with Custom Student Fields that should be included in the export

  8. Select Download, or Email to Person

Export Custom Fields on the Custom Report

  1. Log into brightwheel on the web, and navigate to the Reporting tab

  2. Select Custom Reports

  3. Under Data Source, select Profiles

  4. Under Fields, type in Student Custom Fields

  5. Select the desired Custom Fields

  6. Enter additional fields such as the student name

  7. Click Export to download the report as a CSV file
