Locate and edit your check-in code

[For all users] How to view and update your 4-digit code used to check in/out.

Every brightwheel user receives a personal 4-digit check-in code when their account is created. This code can be customized at any time and is always accessible in the user’s account.

  • Parents, Family, and Approved Pickups use their code to check students in and out.

  • Staff use their code to check themselves in and out.


Best practices for check-in codes

  • šŸ”’ Keep your check-in code secure and private, as it is your unique identifier for check-in/out

  • šŸ‘¤ Choose a unique code. Brightwheel will warn you if it matches another user’s, though you can still save it.

  • šŸ“± You can always view your check-in code in your account, and a program administrator can help locate it if needed.


Locate & edit your check-in code

On the app

All users can locate and edit a check-in code from the mobile app.

  1. Log in on the app

  2. Tap the horizontal lines ≔ menu (top left) > Edit profile

  3. Tap 'Check-in Code'

  4. Enter a new 4-digit code, then hit Set Code

On the web

Only Parents, Family, and Approved Pickups can edit their code on the web (staff must use the mobile app).

  1. Log in on the web

  2. Click My Profile in the sidebar menu

  3. Hit Edit under 'Check-in code'

  4. Change the code, then hit Save


(For staff) Locate check-in codes for families

Staff cannot edit another person’s check-in code, but they can look it up on behalf of a student contact when needed. Student contacts can always locate their own code from their account profile.

  1. Log in on the web

  2. In the sidebar menu, click My School > Parents

  3. Open the Parents, Family, or Approved Pickup tab

  4. Locate the 'Check-in code' column and hit Reveal in the contact's row

  • To reveal all codes for all student contacts on that page, click Reveal all at the top of the column.

  • You can also find a student contact’s check-in code from the child’s profile by clicking Reveal next to their name:


FAQs

How do I get a new check-in code?

The best way to get a new code is to change it yourself. You have full control over your own check-in code and can update it anytime.

Why am I being asked for the last four digits of my phone number?

Check-in codes are used to distinguish who is doing the checking in/out. You may be required to enter part of your phone number if your 4-digit code is identical to another parent, family member, approved pickup, or staff member at your program. The phone number determines which user has entered the code, since it isn't unique.

To straighten this up, you can follow the steps here to locate and edit your check-in code so it's unique.

Can a parent use their check-in code if they are not signed up?

Yes! If a parent has not activated their brightwheel account, a staff member can look up their check-in code online and it will work the same.
