Add events to your program calendar

[For All Staff] Learn how to use brightwheel's built-in Calendar to schedule program events.

With brightwheel’s built-in calendar, there’s no need for separate tools to track important events, everything is organized by room and easy to manage in one place!

Staff can view, create, and manage calendar events. Parents and Family contacts can view events to stay connected and, if enabled in your settings, sync the brightwheel calendar with their personal calendars.


Create calendar events

On the Web

  1. Log in on the web

  2. In the sidebar menu, click My School > Calendar

  3. Select + New event or the specific day on the calendar

  4. Enter event details, then press Create

On the App

Creating a calendar event in the brightwheel mobile app depends on your permission level, so the steps will vary if you are an Admin or Teacher.

For Admins

For Teachers

  1. Tap Rooms to select the appropriate room

  2. Press Calendar on the bottom menu

  3. Select + New event

  4. Enter event details, then press Create

  1. If using iOS, press the ≔ menu icon in the top left corner, then select Calendar

  2. If using Android, choose the Calendar tab from your home screen

  3. Select + New event

  4. Enter event details, then press Create


(Coming soon) Allow staff and families to sync to personal calendars

Administrators can enable calendar syncing so staff and families can add brightwheel events and schedules to their personal calendars.

To turn it on:

  1. Log in on the web

  2. Go to My School > Settings > School Info

  3. Scroll and turn ON Calendar Sharing

Once enabled, you can share the setup resource with staff and families after enabling: Add brightwheel calendar events to your personal calendar.

Note: Events can’t be edited or deleted from personal calendars. Changes must be made in brightwheel.


Edit or delete calendar events

Once a calendar event is created, you can edit the title, rooms, date, time, and description, or delete the event if needed.

On the Web

  1. Log in on the web

  2. In the sidebar menu, click My School > Calendar

  3. Click on the event, then Edit

  4. To make updates, edit the details then select Update

  5. To delete the event, press Delete

šŸ’” Tip: If you want to add a Start and End time for an event that was previously All day, turn off the All day option first.

How families can view calendar events

Parent and Family contact types can view calendar events for their student's assigned rooms right in the mobile app.
