Recreating Legacy Subsidy Data

[For Admins] Learn how to recreate starting balances and recurring subsidy charges after migrating to our newest experience.

If you recently migrated to our newest subsidy experience, but have specific scenarios where you want to recreate the legacy data you had in the old experience, we can help to provide some guidance!


Recreating Starting Balances for Students & Agencies

For Students

If you want to recreate the balance for a student associated with an agency to understand how much the program is owed:

  1. Download the legacy subsidies report mentioned here

  2. Filter the .csv report download by an individual student and agency to sum the total charges & payments
    💡The sum of the charges & payments is the balance. A positive number will mean a balance is owed by the agency, and a negative number will mean the agency has paid more than has been charged.

  3. If a balance is owed, ensure the steps to add the agency and add them as a payer have been followed first

  4. When ready, create a one-time charge assigned to the agency and record the balance as the amount

Taking these steps will create the balance, which is then viewable in the Subsidies tab and on the Student billing profile.

For Agencies

An agency balance is just the sum of all student balances at that agency.

To rebuild a full agency balance, simply recreate the starting balances for all students at the agency by following the steps above.

Once created, the sum of all starting balances can be viewed from the Subsidies tab by looking at the 'Balance' column and also by clicking on a specific agency and looking at the 'Balance summary' tile.


Recreating Recurring Subsidy Charges

  1. If needed, download the legacy subsidies report mentioned here and filter by Transaction Type = 'Subsidy Charge' to see what recurring charges were set up in your account on the legacy subsidy experience

  2. Ensure the steps to add the agency and add them as a payer have been followed then set up Billing Plans for the necessary charges in the new experience
