Add subsidy agencies

The first step in tracking subsidy payments is to add the agency to your brightwheel account.

After entering the agency’s information, you can add it as a payer to any student receiving financial assistance for tuition, education, nutrition costs, etc. Once added as a payer, you can set up charges to include both the agency and guardian payers.

This makes it easy to track both expected and received subsidy funds.


Add a new agency

When you add a new agency, you can input the agency contact information such as their email/phone number, mailing address, and any custom notes.

  1. Log in on the web

  2. Click Billing in the sidebar > Subsidies tab

  3. Press Add agency

  4. Complete the remaining steps to create the agency

Once you've added the agency to your program's list, you can now add the agency as a payer to the relevant student(s) billing profiles.


Assign agencies to student profiles

Once an agency has been added in brightwheel, you can assign it as a payer to any student expected to receive agency payments.

Just like private payers (such as Family members or Approved Pickups), agencies can be added to a student's billing account as agency payers.

  1. Log in on the web

  2. Click Billing in the sidebar > Subsidies tab

  3. Select the agency name to open the profile

  4. Click Select an action > Add students
