[For Staff] Learn how to log learning Observations and share with families

With a brightwheel Premium subscription, you can log learning Observations using notes, photos, and videos, linked to specific skills or standards.

To assign progress levels (e.g., "introduced" or "mastered") and track student growth, add Experience Assessments as a Premium subscription add-on.

Observations can be saved as drafts and completed later if needed. You can log them directly from the Lesson Plan or through the general Add Activity flow on both web and app.


Log Observations from a Lesson plan

You can log observations directly through a lesson plan on the mobile app. In order for a lesson plan to appear on the mobile app, please be sure it is assigned to a room and a specific week. If you are not quite ready to post the observation, you can always save it as a draft and return to it later.

  1. Log in on the app

  2. Select a room > Learning (bottom right)

  3. Click the desired Learning activity in the Lesson plan

  4. Tap Log observation to add linked skills, notes and photos (optional)

  5. Click Add Observation or Save to drafts when finished


Log Observations from the Activity feed

You can log observations directly through the activity flow.

  1. Log in on the app

  2. Select a room > Add Activity > Observation

  3. Add linked skills, notes, and photos (optional)

  4. Click Add Observation or Save to drafts when finished


Revisit & post Observation drafts

Created Observations can be saved as a draft, edited, and posted at a later time! This allows staff to save their progress in case they are pulled away and need to return to the observation when available. Drafts can always be deleted.

  1. Log in on the app

  2. Select a room > Add Activity

  3. Tap Drafts in the upper right corner

  4. Select the draft

    1. To delete, tap the 🗑️ icon in the upper right corner

    2. To edit, make changes > Update draft

    3. To post it, tap Add Observation


Share Observations with families

Similar to logging activities, administrators and staff can log observations as Staff Only or allow them to be visible to parents.

To allow parents to view the observations, the Staff Only checkbox should be unselected. When the Staff Only checkbox is selected, the observations will be visible only to administrators and staff and will not be visible to parents. Administrators can bulk approve staff-only posts through the Room Feed on the web.
