Learning: Log Observations

[For Staff] Learn how to log detailed learning observations and share with families

Staff can log learning Observations for students using notes, photos/videos, and linked to specific skills or standards. Observations are designed to capture meaningful, child-specific learning moments and support tracking developmental progress over time.

Observations can appear in student activity feeds for families to see and in learning reports.

💡 To assign progress levels (e.g., "introduced" or "mastered") and track student growth, you can purchase Experience Assessments as a Premium subscription add-on.


New - Log Observations when completing Learning activities

You can now log Observations while marking Learning activities as complete from a Lesson plan, making it easier to track daily progress and share updates with families.

Note: Logging an Observation while completing an activity is only available within a Lesson plan. To log a standalone Observation, use the child’s activity feed.


Log Observations from a Lesson plan

You can log Observations directly from a Lesson Plan assigned to a room and week while marking a Learning Activity as complete.

To log an Observation without marking the activity complete, use the activity feed instead.

On the app

  1. Log in on the app

  2. Select a room > Learning (bottom right)

  3. Tap a Learning activity in a Lesson plan

  4. Click Log activity and select students

  5. Tap Confirm and observe to add an observation and mark the Learning activity complete

On the web

  1. Log in on the web

  2. Go to Learning in the sidebar menu

  3. Under the Overview tab, open a Lesson plan and select a Learning activity

  4. Click Complete learning activity and choose students

  5. Tap Confirm and observe to add an observation and mark the Learning activity complete


Log Observations from the Activity feed

You can log Observations directly through the activity flow.

On the app

  1. Log in on the app

  2. Select a room > Add Activity > Observation

  3. Add linked skills, notes, and photos (optional)

  4. Click Add Observation or Save to drafts when finished

On the web:

  1. Log in on the web

  2. Click My School > Rooms in the sidebar

  3. Click into the room and select + Add activity

  4. Select Observation

  5. Select the student, date, notes, and skills assessed, then hit Add observation


Revisit, post or delete Observation drafts

Created Observations can be saved as a draft, edited, and posted at a later time. This allows staff to save their progress in case they are pulled away and return to the observation when they become available. Drafts can always be deleted.

On the app

  1. Log in on the app

  2. Select a room > Add Activity

  3. Tap Drafts in the upper right corner

  4. Select the draft

    • To delete, tap the 🗑️ icon in the upper right corner

    • To edit, make changes > Update draft

    • To post it, tap Add Observation

On the web

  1. Log in on the web

  2. Click My School > Rooms in the sidebar

  3. Click into the room and select + Add activity

  4. Tap Drafts at the top of the activities

  5. Make adjustments to drafts and post, or choose to delete


Share Observations with families

Administrators and Staff can choose whether observations are visible to families or kept internal.

To share with families, leave the staff only option unchecked. If the staff only option is selected, the observation will only be visible to program staff. Administrators can also bulk approve staff-only posts from the Room Feed on the web.

You can also print and share Learning Reports directly with families.
