The Payments & Credits Report provides administrators with information about all payments posted for all students as well as information relating to all credits that were created for all students. The report features filtering options and the ability to export with more detail.


Viewing the Payments & Credits Report

  1. Log in to your account on the web

  2. Open the Payments & Credits Report under the Billing or Reports section of your account

  3. Narrow down the report results by using the available filters:

    1. Earliest post date: the earliest date of any payment or credit you'd like included on the report

    2. Latest post date: the latest date of any payment or credit

    3. Student name, Student status, Room: filters exactly like you would expect

    4. Payment status, Transaction type: you can choose between online or offline payments or you could filter to only refunded payments.

  4. Click Apply filters when the relevant filters are selected

The report table will display each payment and credit with the following detail and by default will list all payments and credits from the past 30 days.

  • Post date: The date that the payment or credit was posted to a student's account

  • Student: The student for whom the payment or credit is applied

  • Transaction type: Offline payment, online payment, or credit

  • Payment status: The current status of the payment itself, including Paid, Failed, Refunded, Voided, Pending, or blank (for credits)

  • Amount: this is the amount after accounting for any partial refunds or adjustments.

    • To view more details about the payment or credit itself, you can download the report for richer detail.


Exporting the Payments & Credits Report

  1. Follow the steps above to view and filter the report

  2. Click the Export button in the upper right-hand corner of the screen

  3. Click the Download option to download the report directly in your browser or click Email to 1 Person to email it to yourself (or other email addresses of your choosing)

Exporting this report will provide you with a more detailed version of the report overall and of each charge for the date range selected.


The export by default contains the following columns as well as the total of the payments:

  • Post date

  • Paid date

  • Transaction type

  • Student

  • Payer

  • Payment status

  • Payment method type

  • Payment method

  • Credit reason

  • Portion applied

  • Invoice applied

  • Charge categories

  • Dates of service

  • Total payment or credit amount
