[For Admins + Billing Only role] Learn how to easily manage billing actions using the Billing Dashboard

Brightwheel's Billing tool is here to make sure that providers get paid on time, with minimal time and effort. The Billing Dashboard helps admins achieve just that, by providing a snapshot of where their cash flows stand and by flagging accounts that need their attention most.

ℹ️ The At a Glance tab cannot be filtered by status and will give you an overview of every single student added to your program's account regardless of status.

🇨🇦 If the provider is located in Canada, all monetary amounts appear in the Canadian Dollar, (CAD) and are denoted with a dollar sign ($).


Recently Posted Transactions

There are two charts at the top of the graph:

  • Open Invoices as of today: shows all unpaid, partially paid, and past due invoices as of today

  • Payments in last 35 days: shows all processed payments, offline (cash, check) or online (paid via direct bank transfers or credit card) in the last 35 days. Pending payments will not appear in this view but will be visible in the Billing Summary Report and in the student's 'All Transactions' tab.


Billing Activity Feed

This is where key activities that have occurred within the past 35 days will appear. The goal is to immediately and obviously surface recent actions that may require attention or action.

There are a few types of notable activities that will surface here:

  • Deposit: goes to the Deposit report where an admin can view deposit details within the browser or can download or email the report as either a PDF or CSV file.

  • Autopay turned on or off: goes to the relevant student’s billing profile. Specifically, the Account Details which has the information on payers, payment methods, and autopay settings.

  • Failed payment: goes to the relevant student’s billing profile. Specifically, to their All Transactions > Credits & payments tab

  • Disputed payment: goes to the relevant student’s billing profile. Specifically, to their All Transactions > Credits & payments tab


Unpaid, Payments and Upcoming

The table at the bottom of the dashboard shows unpaid invoices and recent payments.

Unpaid balances tab

On the Unpaid balances tab, all students with unpaid or partially paid invoices as of the current date will be visible. The student's past due invoice amount; their posted but not yet due amount; any available credits/overpayments; and the current account balance.

By clicking the Actions drop-down menu on the relevant row, admins can:

Recent Payments tab

On the Recent Payments tab, all payments from the last 35 days and the associated payment status will be visible. The most recent payments will be displayed first. The payment statuses that may be seen for offline payments are Paid and Voided and the statuses for online payments can be Paid (not deposited), Pending, Failed, Refunded, or Disputed.

By clicking the Actions drop-down menu on the payment row, admins can take the following actions:

  • For Online payments: View/Edit

  • For Offline payments: View/Edit and Void payment

Upcoming Invoices tab

From the Upcoming Invoices tab, providers can conveniently view all the invoices that will be posted to a student's billing profile in the next 30 days.
