How payers can pull their year-end tax statement

[For all users] Learn how payers can access their payment summary information for year-end tax reporting!

We want to ensure brightwheel guardians and payers have all they need to prepare for tax season!

Brightwheel offers an easy to download, year-end tax statement right in payer accounts that's available now! 🎉

The statement includes the provider's Employer Identification Number (EIN) for U.S. programs (if applicable), a digital signature for Canadian programs (if added by a program admin), and all payment activity by all payers for a student in a given tax year.


Access year-end tax statement (as a payer)

Payers can take the steps below to export their year-end tax statements. If you have multiple children, repeat these steps for each additional child or different brightwheel program.

  1. Log in to your brightwheel account

  2. Go to Payments and select a student’s name at the top

  3. Scroll down and click the Statements tab

  4. Select Export next to the Family 2024 payer tax statement

  5. Choose to download or export the statement to your email


Export tax statements for payers (as an Admin)

If payers need assistance with exporting their tax statement, providers can take the steps below to export the tax statement on the payers' behalf. More information on reporting options can be found here: Tax Season Reporting for Providers.

  1. Log in on the web

  2. Select Billing in the sidebar menu > Students tab > Click on the student name

  3. Scroll down and click their Statements tab

  4. Click Export next to the 'Family 2024 payer tax statement' drop-down' (2024 statement is selected by default, but previous years can be selected if applicable)

  5. Download to share the PDF with families or export to send a copy to the listed email address


FAQs

What's included in year-end tax statements?

  • Provider information - Includes the program name, physical address and Employer Identification Number (EIN), if applicable.

  • Date Range - The date range selected when generating the report

  • Total Payments - Total amount of payments made in in the previous calendar year located at the top of the summary. If the student has multiple payers, there may be multiple "Paid by" tiles indicating the total each payer paid.

    • 💡 Tip: Use amount in the Total Payments tile if there was only one payer and the Paid by tiles if there were multiple payers to determine total payments made in the previous calendar year.

  • All activity - Related payments & credits activity such as:

    • Date

    • Who made the payment

    • Payment method used

    • Payment amount

    • Status of the payment

    • What invoice the payment applied to

    • How much of the payment was allocated to the invoice, what the payment was for, and dates of service (if applicable).

  • Digital Signature - Providers can choose to add a digital signature to payer statements that will appear at the bottom. This is to ensure compliance for Canadian programs and is an optional enhancement for U.S. programs. Year-end statements will only contain a signature if your program admin has decided to add one.

What if I'm no longer connected to my child in brightwheel?

If you are no longer connected to your child's profile at a previous program, please contact the previous program for further assistance. They can reconnect you or provide you with your payment summary.

If you are connected to your child's profile and experiencing trouble downloading your statement, you can contact your program directly to see if they can assist with this, or reach out to the brightwheel Support Team.
