Upload attachments to student profiles

[For Admins + Managers] Learn how to add documents to student profiles and track expired files.

Providers can upload important documents, like medical forms, waivers, and physical exam records, directly within each individual student profile. You can even choose to allow visibility to teachers, parents, and/or family contacts.

Everything stays organized within that student's profile, so it’s simple to find, share, and get reminders when documents expire and need to be updated.


Add a student profile attachment

Providers can upload up to 100 files per student, and each file can be up to 15 MB.

  1. Log in on the web

  2. Go to an individual student's profile from the Students or Rooms page

  3. Select the Attachments tab

  4. Click Add attachment

  5. Upload a file, then select the attachment type from the dropdown, or type a custom type, then hit enter to add it

  6. Select who can view the file

  7. Optionally set an expiration date, then click Save attachment


Who can see and upload student profile attachments?

  • Only Admins and Managers are able to upload, edit, or delete attachments.

  • Teachers, parents, and family can only download the file if visibility has been granted. This setting can be updated at any time by an admin.

  • The note and expiration date are visible to users who are granted access.

Update the profile attachment details

You can go back and update the attachment type, notes, or expiration date at any time. Just click Actions > Edit next to the file from the student's attachment list.

Keep in mind that you can't change the file itself or the file name after uploading. If you need to make those changes, you'll need to delete the attachment and upload a new version.


Tracking expiring documents

Admins can set an expiration date to keep track of when documents need to be renewed. You'll receive email reminders 2 weeks, 1 week, and 3 days before an attachment expires, so you never miss an important deadline.

You can also use the Attachments Report to quickly see which documents are expiring or missing across your students.
