Keeping staff documents like background checks and certifications organized in brightwheel makes them easy to access and manage. Everything stays organized within that individual's profile, so itâs simple to find, share, and get reminders when documents expire and need to be updated.
Only admins can upload and view staff attachments, so these files stay secure and private.
Upload a staff attachment
Providers can upload up to 100 files per staff member, and each file can be up to 15 MB.
Go to Staff & Payroll and find the staff member
Click Action > View/Edit next to their name
Select the Attachments tab
Hit Add Attachment and select your file
Choose an attachment type from the dropdown or create a new one
Optionally set an expiration date, then click Save Attachment
Updating an attachment
You can go back and update the attachment type, notes, or expiration date any time. Just click Actions > Edit next to the file from the staff's attachment list.
Keep in mind that you can't change the file itself or the file name after uploading. If you need to make those changes, you'll need to delete the attachment and upload a new version.
Tracking expiring documents
Admins can set an expiration date to keep track of when documents need to be renewed. You'll receive email reminders 2 weeks, 1 week, and 3 days before an attachment expires, so you never miss an important deadline.
You can also use the Attachments Report to quickly see which documents are expiring or missing across your staff.
