Understand student contact permissions

[For Admins, Managers, and Lead Staff] Learn how to best set up contact lists for your students based on the roles and varying permissions

Admins, Managers, and Lead Staff can choose between four contact types when adding student contacts: Parent, Family, Approved Pickup, and Emergency Contact.

Each contact type has varying permissions and privileges, as outlined below!


Types of contacts

There are a few different contact type options you will see available when adding a contact.

Role

Description

Parent

Parent contacts can view student activities, send & receive messages, check students in/out, and access billing information.

Family

Family contacts can view student activities and check students in/out, but they cannot view or receive messages directly.

Approved Pickup

Approved Pickups can check students in/out and update their own contact information, including their 4-digit check-in code. However, they cannot see student profile information, view logged activities, send messages, or access billing features. They are allowed to create accounts to facilitate check-in

Emergency Contact

Emergency Contacts cannot create a brightwheel account, cannot see the student profile, take any actions such as sending messages, or check students in/out. ||

How payers and contacts work

It's important to note that if when a Parent is added, and the program uses billing, this student contact will automatically be added as a payer. Learn more about Primary Payers and what this means. Parents can also be removed as payers.

In addition, Family and Approved Pickups can be added as payers on a student's account as well.


Customize if Parents can edit student information

Programs can manage the "Parents can Edit Student Info" setting and determine whether Parent contacts should have edit permissions or not. This setting is school-wide and cannot be managed at an individual user level.

It's can be valuable to have this setting toggled on if you prefer to assign the responsibility of adding additional student contacts and managing the student's profile information to the primary guardian. If this is not desired, this setting can be toggled off, so they only have view access.


FAQs

Can an Approved Pickup see messages in brightwheel?

No, messaging functionality is restricted to Parents/guardians. Approved Pickup contacts cannot send, receive, or view messages.

Do Approved Pickup contacts have access to billing and invoices?

If you specifically list them as a payer, Approved Pickups can be assigned invoices and pay bills for their student in brightwheel.
