Make a payment with Tap to Pay

[For Guardians] Learn what to expect when paying with Tap to Pay.

If your provider uses Tap to Pay, they may ask to collect a payment from you in person, such as for a past-due balance, a registration deposit, or a late pickup fee. The whole process takes just a few seconds and all you need is a card or mobile wallet.


What you'll need

You don't need to do anything in advance to pay through Tap to Pay, just make sure you are:

  • Listed as a payer on your child's brightwheel account. Contact your program to be listed if you are not already.

  • Have a credit card, debit card, FSA card, Apple Pay, or Google Pay ready

Note: You don't need to add a payment method to your brightwheel account, or open the brightwheel app for Tap to Pay.


How to make a payment

Your program will handle most of the steps from their device. Here's what the process looks like from your end:

  1. The program holds their device out to you

  2. Review the amount on the screen to confirm it is correct

  3. Tap your card, Apple Pay, or Google Pay to the device when prompted

  4. Wait for the success confirmation

What happens next

You'll receive a receipt by email as soon as the payment goes through. The payment will also appear in your brightwheel account under your child's billing history.

You can pay with any of the following methods for Tap to Pay:

  • Debit card

  • FSA card

  • Apple Pay

  • Google Pay

How do I know my program offers Tap to Pay?

Tap to Pay is controlled entirely by your provider, so we recommend reaching out to them directly to ask if they offer it.

Do I need to download the brightwheel app to use Tap to Pay?

No. You don't need to open or use the brightwheel app to make a payment with Tap to Pay. Your provider drives the flow from their device and you just tap your card.

Do I need a payment method on my account to use Tap to Pay?

No. Tap to Pay doesn't require you to have a saved payment method in brightwheel. Just tap your card or mobile wallet directly to the provider's device. If you wish to make a payment online instead, you'll need to add a payment method to your account.

Will I get a receipt?

Yes. You'll receive an emailed receipt as soon as the payment goes through. The payment will also show up in your brightwheel account under your child's billing history.

What if my card doesn't read correctly?

If the tap doesn't register, your provider will likely prompt you to try again. Follow instructions on the reader to position your card appropriately. Make sure your card is tapped firmly and held steady to the device for a moment.

If your payment method isn't compatible with Tap to Pay, ask your provider about making a payment online through brightwheel.

Can I pay for more than one child?

Yes. If you're listed as a payer on multiple children's accounts, your provider can collect a payment that covers all of them in a single transaction, or just one, depending on what you agree on together.

What if I have a question about the amount charged?

Your provider can confirm the total amount due before tapping your card, so you'll always know exactly what you're paying. If you have questions about your balance or invoices, reach out to your program directly or view your billing details in the brightwheel app.
