Why was my deposit less than expected?

If your deposit or payout from brightwheel guardian payments was less than expected, it's likely due to what we call a negative deposit. This happens in one of two situations:

  • A family's payment fails after brightwheel has already fronted and deposited the funds into your account, or

  • An administrator issues an online refund.

When either of these occurs, brightwheel needs to recover the funds it fronted. This results in a deduction from your deposit account to reconcile the failed payment or refund. No money is lost and the amount brightwheel fronted is simply being returned since the original payment didn't go through or was reversed.

The negative amount will appear one of two ways:

  • Most of the time it shows as a separate withdrawal from your deposit account.

  • Occasionally, it's grouped with an incoming deposit, which reduces the total amount delivered.

This typically happens when the timing of the payment failure coincides with a scheduled deposit.
