Upload an existing paper menu template

[For Admins + Managers] Learn how to upload an existing paper menu to be digitized in brightwheel.

Brightwheel makes it easy to go from paper to digital menus instantly. You can upload an image of an existing menu and we'll convert it into a digital CACFP menu. No need to recreate menus from scratch (but you can also that too if preferred).

Once created, menu templates can be reused and assigned to multiple rooms and dates.


How uploading works

When you upload an existing menu, it takes a few moments to process. Once it is processed, you'll receive an email and in-app notification.

You can click either notification to review the menu for accuracy and make edits. Once you're satisfied, you can save it and assign it to rooms.

Note: New food items from your upload are marked with a 🔵 blue dot and saved to your food library when you approve, so you can reuse them later.


Upload an existing menu

  1. Click + Create menu template

  2. Add menu file under 'Upload an existing menu' and hit Next

  3. When the menu is uploaded, look for an email and in-app notification. Click either notification to edit the digitized copy.

  4. Review the menu for accuracy, and make any edits needed

  5. Click Approve to save and share with rooms

FAQs

What file types are accepted?

You can upload a menu in the following formats: JPG, JPEG, PNG, WEBP, TIFF, TIF, and PDF

How many weeks can I upload at a time?

You can upload a maximum of six weeks of menus at a time. If you upload a menu file with more than six weeks of menus, only the first six weeks will be parsed.

Will uploading a new menu create all new food items if I already have some created?

No. brightwheel pulls from your existing food library when you upload a menu. New food items are only created if items on your menu are not found in your library. All new food items are marked with a blue dot and will be added to your food library when you approve the menu.

Are portions on my existing paper menus supported via uploads?

Yes. If portions are included in your menu file, they will also be added automatically when you upload.

Will I get a notification when my menu upload is ready?

Yes. You will receive both an email and in-app notification when your menu upload is ready for review.
