Manage CACFP compliance settings

[For Admins] Learn how to enable or disable CACFP settings to help with meal compliance.

Brightwheel helps you stay CACFP-compliant with two settings:

  • Claim checks flag issues in your meal records before you submit claims

  • Guardrails alert you to missing food components as you build menus.

Both settings are turned on by default for providers, but you can adjust them in Settings.


CACFP claim checks setting

Claim checks scan your records daily and flag anything that could affect reimbursement, such as missing check-in times, duplicate meals, or students marked absent who were served food.

Issues appear in the Claims tab so you can fix them before submitting your monthly claim.

Example: A teacher logs lunch for a student who hasn't checked in yet. Claim checks flags it so you can add the check-in time and keep your claim accurate.

Enable or disable CACFP claim checks

  1. Log in to brightwheel on the web

  2. Under School Info, scroll to CACFP claim checks

  3. Turn the setting on or off


CACFP menu guardrails

Guardrails check menus in real time as you build to ensure each meal includes all required CACFP food components (E.g. Fruit, protein). If anything is missing, you’ll see an alert so you can fix issues early and stay compliant before meals are served or claimed.

Example: You're building a lunch menu and forget to add a vegetable. Guardrails alerts you right away so you can add carrots or green beans before finalizing the menu.

Enable or disable CACFP guardrails

  1. Log in to brightwheel on the web

  2. Under School Info, scroll to CACFP Guardrails

  3. Turn the setting on or off
