Manage food items

[For all Staff] Learn how to add, edit and delete foods from your Food library.

🟱 This article covers the new Menu experience. If your account looks different, you’re using the old version (see guide here). The new version is rolling out slowly and not on all accounts yet.

All providers have access to a pre-curated list of USDA food items, and you can also create custom food items to add to menus or log in rooms. Admins can add, edit, and delete custom food items on the web, while Staff can add custom items in the app when logging food activities.


View my food items

Providers can view a pre-curated list of USDA food items and any custom items created for the program in the Food library.

  1. Log in on the web

  2. Go to My School > Menu in the left sidebar

  3. Select the Food library tab


Add custom food items

If a food item isn’t available in brightwheel’s pre-curated USDA list, you can create a custom item.

On the app

  1. Log in on the app and open a room
    💡 Admins: Hit Rooms | Staff: Select from the top room dropdown

  2. Tap Add Activity > Food

  3. Select Meal Items +

  4. Tap Edit (top right), then type the new food item in the search bar

  5. Click Add to permanently be in your system

On the web

  1. Log in on the web

  2. Navigate to My School > Menu on the left sidebar

  3. Click the Food library tab, then hit + Add food

  4. Add details about the food item to add it


Edit or delete custom food items

After creating custom menu items, you can turn them on or off by room. This lets you show only the food items that apply to each specific room or program. This setting is only available on the brightwheel mobile app.

  1. Log in on the web

  2. Navigate to My School > Menu on the left sidebar

  3. Click the Food library tab

  4. Hit Actions > Edit or Delete next to the food item

đŸš© Important notes:

  • USDA food items included in brightwheel cannot be edited or deleted.

  • Editing and deleting food items will impact menu templates, but not any assigned room menus.


Customize what food items appear in rooms

After creating custom menu items, you can turn them on or off by room in the brightwheel app. This lets you show only the food items that apply to each specific room or program.

  1. Log in to the app and open a room (Admins: Rooms | Staff: room drop-down)

  2. Tap Add Activity > Food

  3. Select Meal Items + > Edit

  4. Hit + to Room to add or remove the item
