Manage program rates

[For Admins + Billing Only Role] Learn how to add more, edit, organize & delete program rates, or make adjustments for a new school year.

Once your program standard rates are added in brightwheel, you can easily organize the rates into different categories, make adjustments as needed, or delete if they no longer apply or in the case of a new school year.


Add additional rates

If you've already added rates, you can easily add new ones to your charge Library.

  1. Log in on the web

  2. Click Billing in the sidebar menu > Library tab

  3. Select Fixed Charges or Variable Charges

  4. Hit Create new charges in the top right. If adding fixed rates, you can upload multiple rates at once by selecting Bulk upload rates.


Organize rates into categories

Charge categories help organize your charge library by grouping similar rates and charges. This is useful for reporting, such as when you want to see the total amount received for the Tuition category.

  1. Log in on the web > Select Billing in the sidebar menu

  2. Choose the Library tab > Categories

  3. Click Create a new category

  4. Select the rate to assign it to a category

Note: Once created, a charge category can not be edited or deleted.


Edit rates

  1. Log in on the web > Select Billing in the sidebar menu

  2. Choose the Library tab > Categories

  3. Click the pencil icon next to the charge that needs editing

  4. Hit Save to library when finished

Note: Once edited, changes won't apply retroactively to posted or pending invoices and won't affect previous billing plans. The edited charge will only be reflected in future billings or one-time charges.


Delete a rate

Once a charge is removed from your Billing Library, changes do not apply retroactively to already posted or pending invoices and will not be removed from any previously created billing with that charge.

  1. Log in on the web

  2. Select Billing in the sidebar menu

  3. Choose the Library tab > Categories

  4. Click the Trashcan icon next to the charge that needs deleting


Upload new rates for a new school year

If you have multiple new tuition rates, you can easily upload a updated version of your rate sheet to brightwheel.

To upload your new sheet, click Billing from the web > Select an Action > Bulk upload rates.

Once uploaded, we'll automatically populate these new rates for you! From there, we recommend deleting any charges from the Charge Library that no longer apply as uploading a rate sheet will not replace existing rates.

If you are only making a few changes, you can also edit or add individual rates manually without re-uploading the full rate sheet.
