Brightwheel makes it easy to send attendance data from your brightwheel account to the Minnesota Department of Children Youth and Families for the Great Start Compensation Support Payments Program and Child Care Assistance Program. Providers can check their students in and out in brightwheel and we'll automatically transfer the data to Great Start.
Getting started - prepare student profiles
For your data to transfer correctly, please confirm each student profile in brightwheel has the following information:
Date of Birth added
Active enrollment status. If students left your program, make sure they are marked as Graduated, Inactive, or Removed to maintain accurate counts.
Parent email address. Each Parent contact list for a student must have an email address on file.
If a parent is missing an email, they can add one to their brightwheel account in the mobile app by tapping the ā” menu (top left) > Edit profile. If they haven't created an account yet, you can add their email directly from the child's Contacts list.
Once all profiles are ready, you can set up the integration.

Set up the integration
Log into brightwheel on the web
In the Integrations tile, select MN - DCYF
Enter your Minnesota DHS License Number (find it on the DHS Licensing Lookup site)
You're done! Data will now transfer automatically to the Department of Children, Youth, and Families (DCYF).

What happens next
After you've set up your integration, brightwheel will send your attendance data from brightwheel daily at 1 AM EST.
Once all attendance (check-ins, check-outs, and absences) have been recorded for the day, we highly recommend running your Check-in report to review attendance data for accuracy and to fix any missing or overlapping times before the data sends.
FAQs
Why is some data not transferring to the Department of Children, Youth, and Families?
If you log in to the Provider Hub and notice an active child is missing, please check that the child has:
An Active enrollment status
A Date of Birth, and
Each Parent contact has an email address listed on their brightwheel profile. You can go to the child's Contacts list on their profile to verify if an email address is listed for each Parent.
If you are still experiencing issues, please email minnesota@mybrightwheel.com with your program name and the child who is not transferring.
How can I correct attendance records that have already been sent to the Department of Children, Youth, and Families??
To ensure accurate records are sent, please make any necessary corrections to the attendance records in brightwheel via the Check-In Report. You can make changes to records anytime through the end of the month and they are updated daily. Changes are automatically transferred to the Department of Children, Youth, and Families at 1 AM EST and reflected in your account the next business day.
