Manage the profile picture for any student as a parent, staff, or administrator or for your personal account

Profile pictures are a great way to personalize the experience for students, admins, staff, and parents! Learn how to edit your own personal photo, how to edit a child's profile picture, or edit a staff's profile picture on their behalf.

Student profile pictures can be managed by any user with edit permissions for that student. Any admin, staff member, or parent can also add their own profile picture to their account by following the guidance below.


Default Profile Photo

When a new staff, student, or parent is added to an account their user profile picture will default to a grey icon with the user’s initials.

Rules for how initials will display:

  • If a person has a single first name and last name then the two-letter image will use the first letter of the first name and the first letter of the last name

  • If a person has a space in their first name then we will use the first letter of each name as their icon’s initials (for example Mary Sue Coleman would appear as MS)

  • If a person only has a first name or only has a last name then we will use the first two letters of that name (for example Madonna would appear as MA)

  • If a person does not have any name present then we will use a default person icon and no initials

  • If a person’s name contains only non-roman alphabet letters then we will use the default person icon (example: 이 화영)

If there is no uploaded photo, when name changes are saved, the default profile photo will automatically update to match the new name based on the rules above.

💡 If the initials in a profile photo are incorrect and don't match the profile name, please follow our App or Website Won't Load troubleshooting steps to try a hard web browser refresh and clear browsing data. On the mobile app, log out and then log back into your brightwheel account. Doing so can update any stale data stored.


Add a Personal Profile Picture

All admins, staff members, and student contacts can also add a personal profile picture.

  1. Tap the Menu icon in the top left corner of your mobile app

  2. Choose Edit Profile

  3. Tap the circle at the top of your profile

  4. Chose to upload a photo or take one with your camera, then make sure to hit Save when you are done


Add Student Profile Picture

Admins and Staff who have Edit Permissions can add or edit student profile pictures from the student's account in the brightwheel mobile app. Parents (but not Family or Approved Pickups) can also add or edit a profile picture for their child from the mobile app.

As an Admin:

  1. From the Administrator Home on the mobile app, select the School Profile tab

  2. Click the Students tile at the top of the page, then tap the student you wish to edit

  3. Click Edit in the student's profile icon at the top of the screen

  4. Chose to upload a photo or take one with your camera, then make sure to hit Save when you are done

As a Staff Member with Edit Permissions:

  1. Navigate to the desired room and tap the student you wish to edit on the mobile app

  2. Click the Profile (iOS) or Pencil (Android) button in the top right corner

  3. Tap the circle at the top of the profile

  4. Chose to upload a photo or take one with your camera, then make sure to hit Save when you are done

As a Parent:

  1. Select your student from the mobile app

  2. Click the Profile (iOS) or Pencil (Android) button in the top right corner

  3. Tap the circle at the top of the profile

  4. Chose to upload a photo or take one with your camera, then make sure to hit Save when you are done


Add Staff Profile Picture

Administrators and Managers can update the profile picture for other staff as needed.

  1. From the Administrator Home on the mobile app, select the Staff tab

  2. Tap the staff you wish you edit

  3. Click Edit in the staff's profile icon at the top of the screen

  4. Chose to upload a photo or take one with your camera, then make sure to hit Save when you are done
