View forecasted billing revenue

[For Admins + Billing Only Role] Report on revenue you're scheduled to bill over the coming months.

The Forecasting Report shows what you'd expect to bill over the coming months based on invoices already posted or scheduled in brightwheel through billing plans and one-time invoices. It helps you plan your budget, compare cash flow across months, and catch missing billing plans before a family slips through.


Run the Forecasting Report

  1. Log in on the web

  2. Choose your view in the subtabs: by charge category or student bill plans

  3. Filter by Forecast period (3, 6, or 12 months) and Student status (Active, Inactive, etc.)


How to read the Forecasting Report

You'll see the previous month, the current month in progress, and your expected future revenue broken down by month. The report totals all future months' revenue on the far right. Please note that actual payments are not counted in this report.

The numbers displayed account for your active billing plans, scheduled invoices, and any discounts already applied to an invoice. The amounts shown are based on the charge's scheduled due date, rather than the post date.

What this report does not show:

  • Payments made.

  • Future late fees generally haven't occurred and won’t be included unless an invoice for the late fee already exists.

  • Invoice adjustments, or other charges you might add. It only shows what's currently active.

  • Drafted, paused, or deactivated billing plans.


Use the Forecasting Report to spot errors

The Forecasting Report is most useful when you're looking for problems. Here are the main things to check:

  • Look for unexpected zeros. If a charge category or student shows zero when you expect revenue, that might mean a student is missing a bill plan. For example, if a new student should start tuition in June but the forecast shows nothing until September, that's worth investigating.

  • Compare months. If a charge suddenly drops between months, make sure that aligns with your enrollment changes. Click the By student bill plans tab to see which specific student plan is causing the dip.


FAQs

Is the report based on invoice post date or due date?

Invoices are credited to the month of their due date. For example, an invoice of $1000 that was posted in September but due in October will show as a revenue forecast of $1000 for October.

Is this predictive or AI-powered?

No. The Forecasting Report only shows what's already set up in the system and it doesn't predict future charges or revenue patterns. It simply sums active billing plans and scheduled invoices.

Will late fees appear in the forecast?

Only if an invoice for that late fee already exists in that month. Since future late fees generally have not happened yet, they will usually show as $0.

Does it show payments received?

No. It is a billed-revenue view, not a payments or cash-received view. A charge can appear even if it has not been paid.

Why am I seeing $0 for a whole row?

Zeros can help surface billing gaps, for example, an active student with no charge scheduled for that month. This is useful for catching missing bill plans.

Can admins export the report?

Not yet, but our team is working to include this functionality.
