Surface account issues with Spotlight

[For Admins] Learn how Spotlight helps surface actions to help your daily operations run smoothly.

Written by Audrey

Spotlight automatically detects high-priority issues in your brightwheel account (undelivered invites, failed payments, stalled admissions packets, missing staff checkouts, etc.) and surfaces them with a recommended action to resolve each one.

This means nothing important slips through the cracks so you always stay on top of daily operations without constantly checking different parts of brightwheel.

Note: We are still rolling this out to all providers, and you may not see it in your account just yet.

What Spotlight surfaces

Spotlight flags issues like:

  • Failed subscription or family payments

  • Payment methods about to expire

  • Stalled admissions packets

  • Unaccepted parent or staff invites

  • Missing staff checkouts

  • And more!

Where to find it

Spotlight is available on the web. You'll see it on your Home page as an Administrator.

How to use Spotlight

  1. Log in on the web

  2. Open the Spotlight queue from the Home page or click the notification bell from anywhere in the app

  3. Click into any issue to see details and a recommended action

  4. Complete the action (like updating contact info or reviewing a packet)

  5. The issue resolves and moves to the next one

💡 Tips:

  • You can filter Spotlight by category if you only manage certain areas, like billing or staff.

  • You can also access Spotlight from the notification bell in the top-right of your screen, anywhere in your account on the web.

FAQs

Did I do something wrong / why am I seeing this?

No. Spotlight proactively flags things that need attention and seeing an issue just means there's something worth a quick look, not that you made a mistake.

Does Spotlight take action for me automatically?

No. It surfaces the issue and gives you a fast path to resolve it, but you stay in control of the action.

Why did an issue disappear / stop showing?

Many checks run on a schedule (daily, weekly, or monthly) and resolve once the underlying problem is fixed.

I think this flag is wrong / inaccurate — what do I do?

Please contact brightwheel Support directly so we can investigate.

Is Spotlight on mobile?

Web only for now.
