Getting billing ready for a new school year means updating rates, and brightwheel makes it easy to do that across multiple plans at once. Instead of editing each plan individually, you can apply a rate increase or decrease by percentage or dollar amount to student bill plans directly or to your bill plan templates.
To know before you get started
Rate changes take effect immediately. The new rate appears on the next invoice that posts, and already-posted invoices are not affected.
Updating rates in bulk updates your bill plans and templates directly. It does not change any fixed charges saved in your Library, so your Charge Library stays intact and can still be used to create new plans at the original rates.
You can raise rates by a percentage (for example, 5%) or a flat dollar amount (for example, $10).
Rate adjustments work differently depending on the type you choose.
Percentage increases apply to every charge within the bill plan. A plan with a $200 tuition charge and a $20 cleaning fee increased by 10% would become $220 and $22.
Dollar amount increases apply only to the largest eligible charge on the plan. A plan with a $200 tuition charge and a $20 cleaning fee increased by $10 would become $210, and the cleaning fee would stay at $20.
Bulk adjust rates on bill plans
Use this flow to update plans already assigned to specific students. This does not change any charges saved in your Library or any bill plan templates.
On the web, go to Billing > Students > Student Plans
Check the box next to the plans you want to update
Click Edit plan rates
Choose your percentage or dollar amount change
Hit Next to review, then Complete update to make changes
Bulk adjust rates on bill plan templates
Use this flow if your program uses templates to build billing plans, for example, one template per classroom or age group. By default, updating a template only affects new plans created from it going forward, but you can optionally push the change to existing student plans built from that template too.
On the web, go to Billing > Library
Check the boxes next to the template(s) you want to adjust
Click Edit template rates
Enter the percentage or dollar amount change, then Next
Choose whether to update just templates, or templates + existing student plans

There's no automatic undo. A flat dollar-amount change can be reversed by running the flow again with the same amount as a decrease. Percentage changes can't be exactly reversed this way due to rounding, so to restore an exact original rate, please edit the affected plans individually.

No, you can only apply one type of change at a time. To apply both, complete the flow once for the percentage change, then run it again for the dollar amount.

If two charges are the same amount, brightwheel applies the increase to the tuition category charge first, then by alphabetical name, then by ID. If you only need to adjust individual charges, please make adjustments to the individual plan or template.
