What happens to billing when you cancel Premium

While we are sorry to see you go, we want to help ensure a smooth transition from brightwheel. Canceling your brightwheel Premium subscription changes a few things about how billing works in your account. Taking a few steps before your cancellation date can help you avoid unintended charges after you cancel your subscription.


What changes on your cancellation date

When your Premium subscription ends, here's what to expect:

  • Online parent payments will be turned off unless you request to keep the free billing feature active.

  • Processing fees for family payments will increase, since reduced rates are a Premium benefit.

  • Payment history and balances stay visible to both you and your families after cancellation.


Cancel active billing plans before your subscription ends

If you have recurring billing plans set up for children, it's important to cancel any active plans before your subscription ends. Active plans can continue to generate charges after cancellation if they're not stopped.

To cancel recurring billing plans:

  1. Log in on the web

  2. From the left sidebar, select Billing > Students > Student plans

  3. Click the checkboxes next to the plans, then Deactivate selected plans

  4. Select a reason for deactivating, then Confirm

Note: Canceling a billing plan stops future charges but does not issue refunds for payments already processed.

What happens to parent payments after cancellation?

Online parent payments will be disabled unless you request to keep the free billing feature enabled. Processing fees will increase for any payments made after cancellation as processing fee rates are reduced for Premium users.

Can I keep online payments active after canceling Premium?

Yes. You can request to keep the free billing feature enabled. Contact brightwheel Support before your cancellation date to make that request.

Will my payment history be deleted and I still access payment information after canceling?

Your payment records and family balances remain accessible after your subscription ends and it won't be deleted. Cancelling Premium does impact your access to certain features, but billing features remain accessible.

Will families still receive their end-of-year tax statements if we cancel?

Yes, they will as long as they remain connected to their student in brightwheel. Families stay connected as long as they are listed as a contact and payer on the student's profile.
