Kentucky | Tips to prepare for license renewals & audits

Kentucky providers can use their brightwheel account to meet the requirements for a licensing investigation and/or renewal by ensuring that each staff member’s profile is up-to-date.

This resource outlines the best way to meet these requirements using the staff profile and Attachments features.


Complete staff profile fields

On the staff profile in brightwheel, make sure the following profile sections and fields are filled. Outlined are the corresponding Kentucky requirements that will be met.

To access a staff profile, select the staff member under Staff & Payroll in the sidebar menu. Hit Edit next to each profile field to make adjustments.


Upload staff attachments

In the staff's Attachments section of their profile, upload all required and important documentation for staff members to ensure a thorough review can be completed.

Staff attachments can include but not be limited to:

  • Health questionnaire and TB test

  • Educational qualifications (i.e. copy of their GED, degree, certifications)

  • Evaluations

  • Incident reports or write-ups

  • Professional development plans

  • Driver’s license, if applicable

Steps to add attachments

  1. Log in on the web

  2. Select Staff & Payroll in the sidebar menu, then click into a staff profile

  3. Go to the Attachments tab > Add Attachment

  4. Input the file and details, then Save Attachment

💡 Tip: Adding expiration dates helps you track when documents need to be updated.
