Request a payment refund

[For Guardians] Learn how refunds work in brightwheel.

To receive a refund for a payment to your childcare provider, please contact your provider directly. They can either initiate the refund in brightwheel or arrange a third-party refund.


How refunds work

  1. Ask your provider to initiate the refund in brightwheel

  2. Refunds are returned to the original payment method (card or bank account) typically within 5–10 business days of your provider initiating the refund

  3. Once processed, the refund will appear on your child’s billing profile (if the original payment was made through brightwheel)


Refund processing times

Refunds typically take 5–10 business days. Processing times can vary by bank and merchant, as the transaction is completed behind the scenes between our payment processor and the payer’s bank or credit card provider. This timeframe is standard across the financial services industry.

If you don’t see the refund after 10 business days, please contact brightwheel Support for assistance.


FAQs

Can brightwheel make the refund for me?

Your provider is responsible for creating and managing all transactions, and is best equipped to assist you with your refund request. Brightwheel is not authorized to make any changes to your account.

I can't contact my provider because it closed or I'm no longer attending? How can I get refunded?

If your daycare or program has closed, program administrators are still responsible for processing refunds. Additionally, if charges persisted after a child left a program, administrators should be contacted for resolution and potential refunds.

Can I stop or reverse a payment that hasn't gone through yet?

Unfortunately, no. If you have made a payment that is currently in a 'Pending/Processing' status, neither brightwheel nor the program you've paid can cancel/stop the pending charge. For your program to take any action on the payment, it must reflect a status of 'Paid.'

We recommend working directly with your program to obtain any refunds when able. It's important to note that brightwheel is not responsible for any overdraft fees due to processed payments.

Do refunds include service fees?

No, service fees associated with a successful payment are non-refundable.

Can an account credit be returned to my bank account?

To receive a refund for credits, this will have to be initiated by an administrator at your program. Please note that your program is responsible for creating and managing all transactions (including charges, credits, and refunds) and will be able to further assist you! Refunds for credits can only occur if the credit resulted from a payment from you.
