Remove a student profile or school from your account

[For Guardians] Learn how to remove an old, unwanted, or duplicate student profile from your brightwheel account.

Written by Audrey

If a child is no longer enrolled at a program, or you have a duplicate profile on your account, you can remove it by removing yourself as a contact on that student's profile. This can be done on the web or in the app.

To know before you get started

To remove a student profile or school, all you need to do is remove yourself as a contact on that child's profile.

Once you remove yourself as a contact, you'll lose access to that student's profile and all associated historical data, including activity history, messages, and billing records.

Before proceeding, download any information you may need, such as photos, videos, or year-end tax statements.

Who can remove a student profile

Parents can remove a student profile from their brightwheel account. Families listed as Approved Pickups or Emergency Contacts don't have this permission and will need to contact the program Administrator to request removal.

If you see "This profile is available to view only," your program has restricted your editing permissions. You'll need to contact your program administrator to request removal.

FAQs

Do I need to remove an old school before connecting to a new one?

No! Removing an old provider is not required to connect to a new one! You can be connected to multiple providers at the same time. Simply have the new provider add you as a contact using your current account information, and then remove yourself from the old student profile when you're ready.

What happens when I remove the profile?

The student profile won't appear in your account anymore and you'll lose access to it, including activity history, billing records, and messages. This does not delete the student's profile from the program's records.

What do I do if I have a duplicate student profiles?

Follow the same removal steps above to remove yourself as a contact from the duplicate profile. Make sure you keep access to the correct profile before completing the removal. If information needs to be moved from one profile to another, please contact your provider direclty to see what is possible.

Why can't I remove a student profile?

There are two common reasons you may not be able to complete the removal:

  • View-only permissions: If you see "This profile is available to view only," or if you're listed as an Approved Pickup or Emergency Contact, you'll need to contact the program administrator to request removal.

  • Outstanding billing obligations: If you have open invoices or are listed as the Primary Payer for the student, you'll need to resolve those with the program before removing the profile or request they remove you as a payer.

If you are unable to get in touch with the program, contact the brightwheel Support Team.

Can I recover a student profile after removal?

To be reconnected to a child's profile, you'll need to reach out to your program directly. Your program's admin can re-add you as a contact, and any other parent or guardian listed on the profile with edit permissions can do this as well.
