Once student accounts are set up, invite parents to brightwheel billing to start collecting online payments! brightwheel's parent invitations allow administrators to efficiently communicate with individual parents or all parents at once, to prompt them to add payment methods and/or enroll in autopay.

Keep in mind that while the invitations are a helpful prompt or reminder, parent-level contacts will be able to view student billing accounts and invoices as soon as they're added to a student's contact list. Parents will also be able to add payment methods and submit online payments as soon as their program has enabled the Accept Online Payments setting.

Invite Parents to Billing

Each contact who will be submitting online payments towards student balances will need to be added as a parent to the student's contact list. Only parent-level contacts will have access to view billing information, add payment methods, and submit payments online. If another contact, such as a grandparent, needs access to submitting a payment, they'll need to be switched to a parent-level contact.

Once contacts are added, administrators can view them by opening the Parents tab from the purple menu.

  1. Log into brightwheel on the web

  2. Open the Parents tab

  3. To invite all parents in bulk: Locate the BILL PAY header, and click the Invite All button
    To individually invite specific parents: Locate the parent's name, and click Invite under the BILL PAY column header

That's it! Once the Invite or Invite All button is clicked, parents will receive invitations prompting them to add a payment method to their brightwheel account so that they can pay online. Invitations will be delivered via email for all parents who have an email address associated with their account. For accounts that are set up with a mobile number only and no email address, the invitation will be sent via SMS/text message.

Invite Parents to Enable Autopay

Autopay invitation emails are a helpful way to remind parents to enroll in autopay to make sure that payments are submitted on time, every time. While programs can opt to make autopay mandatory, all parents will be able to opt into autopay regardless of this setting.

  1. Open the Parents tab

  2. To invite all parents in bulk: Locate the AUTOPAY header, and click the Invite All button
    To individually invite specific parents: Locate the parent's name, and click Invite under the AUTOPAY column header

Once the Invite or Invite All button is clicked, parents will receive invitations prompting them to enroll in autopay. Invitations will be delivered via email for all parents who have an email address associated with their account. For accounts that are set up with a mobile number only and no email address, the invitation will be sent via SMS/text message.
