Many charges are repeatedly added to student statements at different times to maintain consistency and ease of accounting. Brightwheel has made it easier to reuse charges by providing a library of saved charges that an administrator can use on any statement or billing plan and manage in one centralized location.

The Charge Library provides a way for your program to save and reuse charges without having to recreate them every time. It also provides you with a single location where they can make changes to or remove charges as needed.

Adding a New Item

There are two ways to add a new item to the library. The first is from a student’s draft statement or in billing plan setup when you create a new charge, if a certain charge is not already in the library, you can opt to save the charge for future use. It will be added to the library, and will retain any properties (e.g. recurrence) that you’ve applied to it in the student’s draft statement or billing plan. Alternatively, you can create new charges directly in your library. To do so, follow the steps below:

  1. Navigate to the Library in the brightwheel billing platform
  2. Click Create a new charge and complete the fields offered in the pop up
  3. Once complete click Save to library

Upon saving the charge, you will be able to add this charge to a new billing plan and/or any draft statement in your program. 

Edit a Charge

Editing a charge in your library is easy and may be most useful when preparing for a new school year with updated rates. Keep in mind that when you edit any item, it will not retroactively apply to any statements that have posted or are currently in draft mode. It will also not affect any billing plans that may have that item. This update will only be reflected when applied to a plan or statement in the future. 

To Edit a Charge:

  1. Navigate to the Library in the brightwheel billing platform
  2. Click the Edit icon for that item and update the fields as needed
  3. Once complete click Save to library

Remove a Charge

Keeping a clean library of charges is important, especially if some charges should no longer be used. In this case, administrators can remove a charge from the library at any time. Please note that removing a charge will not retroactively apply to any statements that have posted or are currently in draft mode. It will also not remove any recurring charges from billing plans that may have that recurring charge. This update will only remove its ability to be used in future plans and statements. 

To Delete a Charge in the Charge Library:

  1. Navigate to the Library in the brightwheel billing platform
  2. Click the Trash icon for that item to remove the charge
  3. Confirm that you would like to remove the item in the pop up by clicking Delete
