Tracking staff members' check-in/out records in brightwheel is a great way to keep track of employees' hours for payroll. With the Timecards Report, administrators can report on an individual in/out records for the desired date range. The timecards are organized by date, so all the individual check-in and check-out events for a single day will be grouped together. This will allow admins to more easily see daily total hours for their staff and get a clearer picture of breaks and room changes.

Additionally, staff can view timecards on the mobile app to quickly identify discrepancies and raise them to admins!

Report Overview

The Timecards Report can only be accessed from the web however administrators can view and edit timecards from the Staff page in the brightwheel mobile app as well as on the web. By default, the following information will be presented for every active staff member in brightwheel as a column in the report:

  • Date - This is the date of the initial check-in

  • Staff Member - Full name of the staff members

  • Daily Total - The total number of hours the staff member was checked in

  • Room - The room the staff member was checked in to

  • Time In & Out - The exact date and time the punch occurred

  • Total - Calculated total number of hours per check-in/out


Timecards Report for Active Staff

Viewing timecards online in a report allows the administrator to review and edit timecards as needed.

  1. Log in on the web

  2. Navigate to the Reporting section

  3. Click on the Timecards option under Staff Reports

  4. Select the Employee, Room, and/or Date Range and click Apply

  5. From here, the report can be printed by clicking CTRL+P (Command + P on Mac) or exported by clicking the gray Export button in the upper right-hand portion of the report

Please Note: The total listed at the top is the total number of hours for the page currently in view. If there is more than one page of results, scroll down to the bottom and click Show All to view all of the records and the cumulative total. 


Timecards Report for Removed Staff

Once a staff member has been removed from brightwheel, their name will no longer appear in the drop-down menu when viewing Payroll or Timecards reports. To view these reports for removed staff members:

  1. Log in on the web

  2. Navigate to the Reporting section

  3. Click on the Timecards option under Staff Reports

  4. Leave the Select Employee field blank to run the report for all staff members

  5. Select the needed date range

  6. Click Apply to generate the report

  7. Export the report as a .CSV file to an email address

  8. Open the attached report, and use a spreadsheet tool to search or filter for the removed staff member's name


Viewing Timecards on the App

Administrators can also view, edit, and delete staff timecards from the mobile app.

Viewing as an Admin on the App

  1. Log in on the app

  2. From the Administrator Home, tap on Staff

  3. Tap the View Timecards button at the bottom of this screen

  4. View all Staff Timecards including dates, staff name, room, check-in, and check-out time

  5. Click on any timecard entry to edit or delete it

Viewing as a Staff Member on the App

Staff can view timecards on the app, but cannot edit or delete entries.

  1. Log in on the app

  2. Click the ≡ menu in the top left corner

  3. Tap Timecards

  4. View your personal timecard including dates, rooms, check-in times, check-out times, and total working hours for that entry
