Moving a lead to a new stage keeps your pipeline up to date and can send the family the right email at the right time. For example, when you move a lead to Contacted, you can send an email that invites them to schedule a tour. This article walks you through moving leads, waitlisting a family, and enrolling a lead.

Pipeline stages
CRM uses these default stages: New inquiry, Contacted, Tour scheduled, Toured, Application, and a final outcome of Enrolled, Waitlisted, or Lost.
Stage |
What it means |
New inquiry | A family has shown interest in your school by completing your interest form, or you add them manually. |
Contacted | You reached out to the family. |
Tour scheduled | The family has a tour on the calendar. |
Toured
| The family successfully visited your school. |
Application | The family is applying to your school and you sent the application.

Enrolled | The family has accepted a spot and the child is joining your school.
|
Waitlisted
| Family is currently waitlisted waiting to hear if they have a spot. |
Lost | The family withdrew their name from consideration and is not continuing the enrollment process.

Move leads to a new stage
You can drag and drop a lead, or open the lead and change their stage.
Drag the lead to a new stage, or open the lead drawer by clicking on a student and changing their stage

From the top of the Leads page, click Select
Choose leads in the same stage
Click Actions
Select Move stage and the new stage
Note: For bulk actions, you can only select leads that are in the same stage.
View and reorder your waitlist
Waitlisted families appear in the Waitlisted column on your Leads page. To see them by program, go to Enrollment > Waitlist. From there, drag and drop families to change their order. You can also open a lead from the waitlist to view their details.

Enroll a lead
When a family is ready to enroll, move them to Enrolled. Brightwheel creates their student profile and carries over the lead's information.

Optionally send a packet or an enrollment email

FAQs
Can I customize my pipeline stages?
Not at this time. CRM uses default stages.
Do I have to send an email when I move a lead?
No. Sending the stage email is optional, and you can email the family later from the lead drawer.
Where do I see my waitlist?
In the Waitlisted column on your Leads page, or under Enrollment > Waitlist to view families by program.
