Set up CRM lead forms

[For Admins] Learn how to customize and share your CRM enrollment forms and packets.

CRM includes an Interest form you can customize and share with prospective families. It's how families enter your pipeline, because every family who completes it is added automatically as a lead. It's essential to send this form first, then share any additional enrollment forms or packets as the child moves through your pipeline.

This article walks you through how to customize your CRM Interest form and share additional forms with families.

Types of CRM forms

CRM Interest form

A short form that automatically adds families to your pipeline as leads.

  • Submissions appear in the New inquiry stage

  • You can share the link on your website or anywhere else

  • Families don't need a brightwheel account to complete it

Additional forms and packets

Additional forms you create under Paperwork, such as immunization records, photo consent forms, and your program application.

  • These forms don't create leads, but you can send them at any stage to collect more information

  • If you send them from the CRM > Leads page, or share with a prospective family from the Paperwork tab, families don't need a brightwheel account to complete it


Customize your CRM Interest form

  1. Log in on the web

  2. In the sidebar menu, click CRM > Setup

  3. Select Interest form

  4. Customize the form and hit Save changes


Share your CRM Interest form

  1. Log in on the web

  2. In the sidebar menu, click CRM > Setup

  3. Select Interest form

  4. Click Share

  5. Copy the URL to send or the school code to embed it on your website


Create and share additional forms

Three ways to share additional paperwork with prospective families in CRM

  • From the Leads page: Move a lead to the Application or Enrolled stage and choose to send paperwork.

  • From a lead: Open the lead and select Paperwork > Send paperwork.

  • From Paperwork: Go to Paperwork in the sidebar menu, select the form, and choose Prospective families when you share it.

All three options will allow families to complete forms without creating a brightwheel account to speed up the process for them.


View CRM form submissions

CRM Interest form submissions appear automatically in the New inquiry stage of your pipeline. Open a lead to see their form details, then move them to the next stage.

You can find any additional forms a family has submitted in the lead's Paperwork tab, or by going to Paperwork in the sidebar menu.


FAQs

Do I have to use the CRM interest form, or can I use a form already linked on my website?

To have families added as leads automatically, you'll need to use the CRM interest form. You can embed it on your website or link it anywhere. Forms from the Paperwork tab don't create leads, so we recommend sharing the interest form first, then sending additional forms as the family moves through your pipeline.

How are forms under Paperwork different from the CRM interest form?

The CRM interest form adds families to your pipeline. When a family completes it, they're added to New inquiry as a lead automatically. Paperwork forms don't add families to your pipeline.

Families also have a different experience. They can complete the CRM interest form without a brightwheel account by verifying their email with a one-time code.

Paperwork forms work the same way only when you send them from the Leads page or select Prospective families when sharing. Otherwise, families need to create a brightwheel account first.

Do families need a brightwheel account to complete CRM forms?

No. Families don't create an account or download the app. They verify their email with a one-time code. This applies to the CRM interest form and to any Paperwork forms or packets you send from the Leads page or by selecting Prospective families.
